Get instant deposits in QuickBooks Desktop

Learn how to deposit customer payments into your bank account in minutes.

When you use QuickBooks Payments to process customer payments in QuickBooks Desktop, it can take a few days to get the money into your bank account. Instant deposits for QuickBooks Desktop allows you to get your money even faster. You can also get instant deposits in QuickBooks Online.

If you set up instant deposits, you can request to get funds into your bank account in less than 30 minutes. You can also schedule instant deposits to run automatically for specific days of the week. Here's how to get set up and get instant deposits.

Step 1: Get set up for instant deposits

If you haven't already, sign up for QuickBooks Payments. You need a QuickBooks Payments account to get instant deposits.

QuickBooks uses your debit card to deposit the money into your checking account. It must be a Visa or Mastercard connected to a checking account at your bank or credit union. Intuit only uses this debit card to facilitate the instant deposit and any fees will continue to be debited from your regular payments bank account.

Add your debit card

  1. Go to Customers, then select Credit card processing
  2. Select Record Merchant Service Deposits
  3. Select Get set up in the instant deposit banner on the home page of the Merchant Service deposits window. Note: You'll only see this option if you're eligible and the primary admin of your company.
  4. Follow the onscreen steps and enter your debit card info.
  5. When you get the confirmation code, enter it to verify the account.

You will get confirmation that your card is linked. You should also receive an email once your debit card is added to your merchant account.

Select an account to record instant deposits

You may be prompted to select your instant deposit account, if you don’t already have it set up. This will allow you to automatically reconcile your account.

  1. Choose Select Account at the prompt.You can also edit these settings by using the Change Deposit Settings.
  2. In the Bank for Instant Deposits field, select your account. You can also add a new account and it will be added to your chart of accounts.
  3. When you’re done, select Save settings

Step 2: See your available funds

Every time you process customer payments, they may go into your available balance. This balance is the available money you can deposit instantly. To see your available balance:

  1. Go to Customers, then select Credit card processing
  2. Select Record Merchant Service Deposits
  3. Review your available balance in the instant deposit banner.

You can get an instant deposit if there's an available balance. Important: You can get the entire available balance, not a portion of it.

Step 3: Get an instant deposit

  1. Go to Customers, then select Credit card processing
  2. Select Record Merchant Service Deposits
  3. Select Get it fast in the instant deposit banner.
  4. Review the total and associated fees in the Confirm Deposit window.
  5. When you're ready to initiate your instant deposit, select Get it now.

Within minutes, you’ll see the money in the bank account linked to your debit card. It can take up to 30 minutes depending on your bank. You'll get an email after we successfully deposit the money.

Follow these guidelines each time you want to request an instant deposit.

  • For Payments you receive before 3PM PT, make requests before 3PM PT to get your money on the same day. At 3 PM PT, we process your available balance at the normal speed.
  • For Payments, paid to you, after 3PM PT, make requests to get your money deposited within 30 minutes anytime before 3PM PT the following day.

You can request Instant Deposit 24 hours a day, 7 days a week.

Schedule automatic instant deposits

You can also schedule instant deposits for certain days of the week. We check and instantly deposit your entire available balance three times a day at 9 AM PT, 2 PM PT, and 9 PM PT. To schedule automatic instant deposits:

  1. Select  Deposit Settings from the Record Merchant Service Deposits window.
  2. Select Change from the Schedule section.
  3. Select the days you want instant deposits for.
  4. When you're done, select Save schedule.

You can view or edit your schedule settings in this same section.

Note: Customer payments you receive between 2 and 3 PM PT can't be scheduled for instant deposits. We deposit them at the normal speed. If you need an instant deposit for them, you'll need to manually request it before 3 PM PT.

Change the account the money goes into

If you need to change the debit card and checking account the money goes to:

  1. Go to Customers, then select Credit card processing.
  2. Select Record Merchant Service Deposits.
  3. Select Deposit Settings. 
  4. Select Change to edit your instant deposit information.
  5. When you're ready, select Save Settings.

Note: You can't keep multiple debit cards on file.

Record instant deposits and related fees

 

  1. Go to Customers, then select Credit card processing.
  2. Select Record Merchant Service Deposits.
  3. Select the Instant deposit account to review the customer payments
  4. Select a deposit from the list.

You'll see all the customer payments included in the instant deposit and a breakdown of related fees. Please allow up to 24 hours for Instant deposit transactions to appear in the Merchant Service deposit window.

To see your monthly statement:

  1. Sign in to the Merchant Service Center.
  2. Select the Activity & Reports tab and then All Statements.
  3. Find your most recent statement and select View.
  4. Enter the last 4 digits of your Tax ID number.
  5. View the Date in the Activity Summary. This is the date the deposit was made.

Processing fees aren't taken out of your available balance. When we make an instant deposit, we deposit the full amount and then take the fees later. They show up as two separate transactions.

We take processing fees from the bank account you use for standard payment processing. This may be the same bank account where you receive your instant deposits, or a different one.

Here's what to do if you ever have an issue with an instant deposit.

Important: Instant Deposit is an additional service offered by QuickBooks Payments subject to eligibility criteria. To qualify, your QuickBooks Payments account must be active and in good standing. Payments are sent to the bank account linked to an eligible debit card in minutes (up to 30 minutes). Deposit times may vary for third party delays.
