Automating Billing for time activities

My business bills based in employees time.

We have set up automated billing for time activity and a template for each customer.  The invoice that are generated shows daily time for each employee on the job at our clients but does not consolidate the hours for each employee (service item).  Manual bills allow you to consolidate the hours.  Can this be set up automatically?

Automating Billing for time activities

Welcome to the Community space, @dtaliaferro.

I'm here to provide some steps to consolidate hours for each employee in QuickBooks Online (QBO).

Yes, there's a feature for that in QuickBooks Online. I'd be pleased to show you how to consolidate your time entries.

You can consolidate your time entries by grouping them by service when invoicing your customers.

  1. Select the customer with a pending time activity on the invoice creation screen under Customer
  2. The Add to invoice panel will automatically appear. Choose Group time by service in the second drop-down menu.
  3. QuickBooks will automatically consolidate the time entries by service. Simply click on Add to add the time entries as line items.

Be sure to show the service when entering the time if you haven't done so already. Click the Gear icon on the weekly or single timesheet screen, then check Show service. This will let you assign a specific service to your entries.

I'd also suggest editing your time entries if you haven't added a service for them yet. Simply go to Sales, select a specific customer, and then open the Time Charge transactions.

Moreover, I'm adding this helpful article as your additional resource: Year-end guide for QuickBooks Online.

Come back to this post if you have other concerns about consolidating hours for each employee in QuickBooks Online. I'll be here to lend a hand. Have a good one!
