We will need the archiving advise. How can we archiving for example the whole year's bookeeping - or month by month?

I'd like to help you with your concern about archiving data in QuickBooks Online (QBO) by sharing possible scenarios I could think of.

 

Are you trying to close your books in QBO? If so, I'll be glad to guide you through the steps. Closing your books ensures everything stays the way you want it to. It also prevents any accidental changes that could affect your financial reports. Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon, then select Account and settings.
  3. Select the Advanced tab.
  4. Go to the Accounting section and click the pencil icon to edit.
  5. Turn on the Close the books option.
  6. Enter a closing date. Give yourself a comfortable deadline. You shouldn't need to edit any transactions before this date. Your new bookkeeping work will start after this point.
  7. Select the Allow changes after viewing a warning and entering a password option from the dropdown menu if you want to require a password before editing your closed books.
  8. Select Save, then Done.

However, if you're referring to transferring data from QuickBooks to another software, you can export your data from QBO and import it to the other software. You can also reach out to their support team to know if there's a direct way to transfer data from QBO to their software.
