I need to download ALL transactions (in an order that makes sense) from QB Desktop (my PC is dying). I need to for legal purposes. Does anyone know how to do this?

E.g. I would like to be able to see ALL of the info that's on an invoice, in the same way as I can when I go into QB desktop.

Helping you out downloading your transactions that shows the details of the invoice is my priority.

 

Before proceeding, may I know if you only need the invoices data or other entries (vendor)? While waiting for your reply, allow me to provide options to get a copy of the company file. 

 

You can either create a backup copy of the company file and restore it later. Aside from that, open a report and then export it to Excel.

 

To save a copy:

 

  1. Go to File at the top menu bar and choose Back Up Company to select Create Local Backup.

  2. This will take you to a window where you can mark the radio-button for Local backup.

  3. Click Next to open the Backup Options screen.
  4. From there, choose where you want to save a copy of the company file.

  5. Follow the on-screen instructions to complete the process.
  6. Click OK when the QuickBooks Desktop Information window shows up.

When you have another computer, simply restore the copy to view all transactions. The following link outlines the complete instructions on how to Restore a backup of your company file.


Another way is to open the Sales by Item Detail Report and customize it to show the items associated with the invoices. Then, export it to Excel.

 

  1. Tap the Report menu at the top bar to select Sales and then choose the Sales Item by Detail.

  2. Hit the Customize Report button in the upper right to open the Modify Report window.

  3. Choose the Display tab and then go to the Columns section.
  4. Type in Item in the field box and click OK to view the changes.

  5. Press the Excel drop-down and pick Send Report in Excel.
  6. Then, mark the radio button for Create new worksheet and click the Export button.
