Hi there, Ricky. Yes, there are several options available for a role where the user can't edit or receive payments.

These are the options you can find when you go to the Gear icon, Manage Users, and then Roles:

  • Accounts payable manager - they can only do everything with expenses, suppliers, and AP reports.
  • Expense Manager - this role can access all expense transactions, suppliers, products and services, sales tax, and currencies only.
  • Inventory manager - assigned to perform inventory tasks and not for sales or receiving payments.
  • View Company reports - this role can see all reports except the ones that show payroll or contact information.

If you wish to learn more about the other user functions available in QuickBooks that weren't mentioned, you can visit this article: User roles and access rights.

On the other hand, if my suggested role does not fit what you need, you can customise a role. Here's how:

  1. On the same page from the Manage User section, go back to the Roles option.
  2. Click the Add role tab in the right corner.

  3. Place a Role name and Role description (Optional).
  4. Hover your cursor over the Sales dropdown and tap it.
  5. Then, you can place a check mark on the Invoices and Estimates, and let them have full access to them. But, they do not have the option to view, create, edit, and delete a received payment.

  6. After that, you move over to another section if you want them to access another option.
  7. Finish it by choosing Save Role below.

Once done, add the user and assign the customised role.

However, if you are looking for a role where the function is view-only, it is currently not available in the function. Every function has specific tasks to do and is limited only to what they are assigned to.

It would be great to have you back here and engaged more by asking questions about managing roles in QuickBooks or any related topics.
