Hi, I have a significant number of duplicate transactions that have showed up in Quickbooks. Is there a way to prevent this please?

The duplicated transactions don't seem to follow any pattern.

Hi, I have a significant number of duplicate transactions that have showed up in Quickbooks. Is there a way to prevent this please?

Let's ensure we clear up these duplicate transactions promptly and stop them from happening in the future, Louise.

 

When you connect your bank account to QuickBooks Online, it automatically downloads your most recent transactions. Since banks connect differently, duplicates can sometimes occur, especially if you reconnect your bank account multiple times.

 

Also, please check that you haven’t manually entered a transaction that QuickBooks has already downloaded from your bank, as this can cause duplicates.

 

Before proceeding, I recommend double-checking your bank statement by logging into your bank’s website and reviewing the statement for the period where you see duplicates.

 

Then, verify your online bank connections in QuickBooks to ensure your bank or credit card account is connected only once. Multiple connections can cause duplicate downloads.

 

Once you’ve verified these, you can proceed with removing the duplicate transactions. If the duplicates appear in the For Review tab, here’s how to exclude and delete them:

 

  1. Go to the Bank Transactions page.
  2. Choose the affected bank account, then go to the For Review tab.
  3. Select the duplicate transactions by checking the corresponding boxes.
  4. A black box shows the number selected. Click Exclude.
  5. Switch to the Excluded tab, select all transactions, then click Delete to permanently remove them.

 

If the duplicates are already categorized or matched, follow these steps:

 

  1. In the Bank Transactions page, go to the Categorized tab and tick all duplicate transactions.
  2. Click Undo in the black box that appears, which moves them to the For Review tab.
  3. Follow the steps above to exclude and delete duplicates from the For Review and Excluded tabs.

To avoid duplicates in the future, consider manually matching transactions that have already been entered with those downloaded from your bank account.
