Can I mark invoices as Paid on app?

Hello and welcome to the QuickBooks Community, SonicGas2022.

Yes, you can. I'll show you the steps on how you can mark the invoices as paid using your mobile device.

If you're using an iPhone, you can follow these steps:

  1. Tap Menu ☰. Then select the All tab.
  2. Select Invoice Payments and choose the customer who paid you.
  3. Tap the pencil icon to edit, then add the payment details. The payment amount you enter is automatically applied to the oldest open invoice first, followed by the next oldest invoice, and so on. You can enter a different amount for any open invoices or select the radio buttons to quickly auto-fill the balance due amounts. If the payment amount exceeds all of the open invoice balances, the Unapplied Amount is shown at the bottom of the page.
  4. Tap Save once you're done.

For Android devices, here's how:

  1. Go to the Menu ☰. Then tap the All tab.
  2. Scroll down and select Invoice Payments.
  3. Tap the Plus + icon and select Record payment.
  4. In the Customer field, select the Plus + icon. Then choose the customer you’re adding a payment for and the customer’s open invoices will display.
  5. Tap on the Method field and select the payment method (skip this step if you don’t see the Method field).
  6. Enter the amount of the payment you’re receiving from the Amount field. The payment amount you enter is automatically applied to the oldest open invoice first, followed by the next oldest invoice, and so on. You can enter different amounts for any open invoices. Or select the checkboxes to quickly auto-fill the balance due amounts. If the payment amount exceeds all of the open invoice balances, the Unapplied Amount is shown at the bottom of the page.
  7. Tap Save.

After recording the payment, your invoice status will be marked as paid. Here's a sample screenshot for a visual reference:

  2. Go to + New > Receive payment.
  3. Select the customer's name and add the payment details.
  4. From the Deposit to dropdown, select the account you put the payment into. Tip: You can put the money directly into an account, like your transaction account, or select Undeposited Funds if you need to group the payment with others.
  5. In the Outstanding Transactions section, put a check mark on the invoice you're recording the payment for.
  6. Enter the Reference no. and Memo if needed. This is optional.
  7. Hit Save and close.
