ad hoc payment goes through but won't update to tax department as more that 350 days since last as hoc payment

In QuickBooks Online (QBO), an error message about the "Pay/Update Date being 350 or more days from the run date/time stamp," means QBO’s system cannot process certain payroll or tax updates. This occurs because the transaction exceeds the allowable timeframe for filing and reporting compliance. QBO has specific rules that ensure payroll taxes are reported in a timely and compliant manner.

 

To finalize the ad hoc pay run you’ve created, you won’t be able to lodge it directly as you would with a normal pay run (e.g., selecting "Lodge Pay Run" with the ATO). Instead, you’ll need to create an Update Event

 

Here's how you can do this:  

 

  1. Navigate to Reports.
  2. Select Single Touch Payroll (STP) under the ATO Reporting section.
  3. Select Create update event.
  4. Select the appropriate Financial year and Pay schedule, then select Create.
  5. Locate the Update Event you need and click Lodge with the ATO.

You will see a list of all employees linked to that pay schedule, along with their year-to-date payroll details. This ensures the adjustments are properly reported to the ATO while staying compliant with reporting standards.
