Hi there, Cheryl.

Let's make sure you'll be able to migrate your Product/Service Item List with sub-items into QuickBooks Online (QBO).

When migrating, you can save time by importing a spreadsheet of your products and services into QuickBooks. I'll walk you through formatting your spreadsheet in Google Sheets or Excel and importing it right into QuickBooks.

In QBO, you can download our sample file that shows you how to format your spreadsheet so it imports correctly. Here's how:

  1. Sign in to your QBO account.
  2. Go to the Gear icon then select Import Data.
  3. Click on Products and Services.
  4. Select Download a sample file and open the file.

Here are some formatting tips:

  • Product Service Name: 100 character limit. Only use the approved characters.
  • Income Account: You can't use sub-accounts.
  • Quantity as-of-Date: Your format should look like this: MM/DD/YYYY or DD/MM/YYYY
  • Income and Expense account: You can't use sub-accounts.

Now with regard to formatting your items with sub-items, you'll need to use a row for each item variation.  For example, if your items are pieces of clothing in multiple colors and sizes, your format will look like this: [Item]:[Size]:[Color]

You can browse through this article for the detailed step-by-step process of importing your Product/Service Item List: Import products and services into QuickBooks Online.

Additionally, I got you an article that'll guide you in case you'll need to change the item type of your products and services: Change product and service item types in QuickBooks Online.

I'll be here if you've got additional queries about managing your products and services in QBO. It's always my pleasure to be of assistance. Take care.

Hi,

Got an idea from what you shared, thank you:)  What I did is I Categorized the Main Item and put the sub items under the Category. I don't know if it will work or will be the same once I migrated the details of my Invoices.

I just hope so.

You're always welcome, cherylsangabriel.

You can always post if you have any additional information once you've migrated the details of your invoices.
