How to copy journal entry from excel to quickbook in one shot, if it is there in excel in the same format?

I'm here to ensure you're able to copy your journal entry from an excel file to QuickBooks Online (QBO). This way, you can update your accounts and monitor your transactions.

 

With QBO’s import feature, you can easily transfer/copy your accounting data. Just make sure to fill in the required columns such as DateAccount numberJournal code, Debit, and Credit to successfully execute the process. 

 

Please note that in case your spreadsheet has new accounts, you need to add them to your chart of accounts first before importing.

 

Once everything is all set, you can now start importing your excel file to QBO. Here's how:

  1. Go to the Gear icon.
  2. Select Import Data.
  3. Choose Journal Entries.
  4. On the Download page, select Browse.
  5. Note: If you need help formatting your journal entries, select Download a sample file.
  6. Find and select your CSV or Excel file. Select Open, then Next.
  7. Map your information. Your Field represents the headers on your spreadsheet. From each small arrow icon, select the one that matches a field in QuickBooks Online.
  8. Select Next.
  9. Click Start import. If there’s an error, select Download and correct. Then, edit the file and try again.
  10. Select Done.

 

After that, you can pull up a report to check the complete list of your imported transactions. The system will let you view and print single or multiple journal entries on one report. For the step-by-step guide, kindly refer to this article: Journal entry report.

I can not find the journal entry icon in the import data.

Missing buttons or icons are usually the result of too much historical data stored in your browser. We can perform basic troubleshooting to resolve it. First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

If everything is fine, clear your browser's cache. This way, you can access QuickBooks with a clean slate. You can also switch to a different supported browser to see if it has something to do with it.

 

Additionally, before you import your journal entries, make sure that your file includes the following information:

  • Journal No
  • Journal Date
  • Journal Code
  • Account Name
  • Journal
  • Debits
  • Credits
  • Select date format
