Cancel Your QuickBooks Payroll Subscription

Learn how to cancel your QuickBooks payroll subscription.

We're sorry to see you go. But if you need to cancel your QuickBooks Online Payroll or QuickBooks Desktop Payroll subscription, here's what to do.

Cancel your QuickBooks Payroll subscription

Step 1: Complete your final payroll tasks

Before canceling your payroll subscription, make sure you:

  • Complete and process your final payroll
  • Print necessary payroll reports

If you have a payroll service where you pay or file your own taxes, make sure you:

  • Pay any outstanding tax deposits
  • Process and file any outstanding annual or quarterly forms

Step 2: Cancel your payroll service

Choose your payroll service below for steps on how to cancel.

Note: Not sure which payroll service you have? Here's how to find your payroll service.
Important: If you have QuickBooks Online Payroll Core, Premium, or Elite, Intuit will charge you $150.00 if you request us to prepare year-end filings and/or W-2s
  1. Go to Settings ⚙ and select Account and Settings.
  2. Select Billing & Subscription.* In the Payroll section, select Cancel.
  3. Fill out the online cancelation form to complete your cancelation.

Once you submit the cancelation form, Intuit will not be able to edit or change it.

*Note: If you don't see the Billing & Subscription tab, you're not signed in as the Master Administrator or Company Administrator on the account. Or you purchased your QuickBooks Online from your Accountant. In these cases you need to sign in with an admin account or contact your accountant to cancel your payroll subscription.

If you have a full service payroll subscription
If we pay and file your payroll taxes for you, be sure to leave your bank account open until we debit and pay those tax liabilities. These liabilities (including annual liabilities) will be paid at the time we process your cancelation form. You'll receive an email confirmation within 3 business days once we have reviewed your cancelation request, and another when we have completed your cancelation.

Important: If you have QuickBooks Desktop Payroll Assisted, Intuit will charge you $150.00 if you request us to prepare year end filings and/or W-2s.
  1. Sign in to your Intuit Account.
  2. Under Products & Services, select Details next to the status of the payroll subscription that you want to cancel.
  3. Select Cancel Service and follow the on-screen steps to cancel your payroll service.

You'll receive an email confirmation within 3 business days once we've reviewed your cancelation request. We'll send another when we've completed your cancelation.

Once your cancelation is complete, follow these steps to remove the QuickBooks Desktop Payroll Assisted service from your QuickBooks Desktop company file.

  1. Go to your QuickBooks Desktop company file.
  2. Select Employees, then Send Payroll Data.
  3. Select Send.

You have two ways to cancel your subscription.

Through your company file
The best way to cancel your payroll service is directly in your QuickBooks Desktop company file.

  1. From the Employees dropdown menu, select My Payroll Service then Account/Billing Info.
  2. Sign in using your Intuit Account login and the Account Portal page will open.
  3. Select Cancel Service.
  4. Follow the on-screen steps to cancel your payroll service.

Through your Intuit account
If you don’t have access to your QuickBooks Desktop Payroll company file, you can cancel your payroll service online.

  1. Sign in to your Intuit Account.
  2. Under Products & Services, select Details next to the status of the payroll subscription that you want to cancel.
  3. Select Cancel Service and follow the on-screen steps to cancel your payroll service.

What happens to your payroll data after you cancel

You'll have access to your payroll data until one year after the date your subscription was canceled. Be sure to export and save copies of your reports.

You will continue to access copies of your payroll tax returns online through the Canceled Client Payroll Tax Center until 12 months from the date of cancelation of the subscription. You will not receive paper copies of these returns.

You will no longer access your payroll tax returns through QuickBooks Desktop. Instead, please follow the instructions below to access your return information:

  1. Go to https://payrolltaxcenter.intuit.com/ptc-termed/
  2. Enter your company's EIN and Payroll PIN.
  3. Once logged in, you will see a link to online forms filed for your company. These are PDF files you can print, save, or email.

If you do not find the form in the Payroll Tax Center, or if you no longer have your Payroll PIN and EIN information, you must request paper copies of your returns by completing this form: Tax Copy Request Form.

You'll still have access to your payroll data after canceling but you won't be able to recreate any tax forms. Be sure to save a copy of all the tax forms you created or e-filed.
