Invoice email templates

My email template when i send an invoice previews differently to how it actually sends the email.  It inserts some text after the amount. I don't know where it comes from or how to delete it. It's factually incorrect, so it needs to be removed.

In Custom Form Styles/Standard/Email, the email preview looks correct. It's just a simple message followed by the grey box with the amount, followed by name and contact details.

However, when I produce an invoice, it adds some extra information. After the grey box, it adds my bank details for payment. I don't want this to appear on the email. The only place where this information has been added is the Custom Form Styles/Standard/Content/Footer section of the standard invoice.

I tried deleting the bank details from there, but they still appear in the email template.

When i run an invoice, the email preview is the first and only time that the bank details appear. I need them to be removed from the email template.

Can anyone help me please?

You've come to the right place, JeremyAdv.

I have created a customize invoice template here on my end. In the Design section, I can see an option to add EFT details, and I have added mine. It seems that this doesn't show when you preview the invoice before sending it to the customer. However, when the customer views the invoice, they will see the added EFT details on their end.

You'll want to check your custom template, and remove the EFT details added. Here's how:

  1. Click the Gear icon.
  2. Select Custom form styles.
  3. Click Edit on the template.
  4. Select the Design tab, then click on Add your EFT details.
  5. Delete the information and click Done to save changes.

You can try sending an invoice to your email address to check if it's no longer showing.

Invoice email templates

Hi, thanks but i didn't have anything in the EFT field in my standard template. So i don't know where it is coming from.

As a nuclear option of deleting the standard template and starting again? I can't seem to find that option.

Invoice email templates

I appreciate the details you've added above about your standard invoice template, @JeremyAdv. This way, I can provide the exact details about it and guide you on the things you need to take care of this.

The Standard invoice template in QuickBooks Online (QBO) is the default or master copy of all your customised sales forms. With this, deleting it isn't an option. However, you can create another customised invoice and make it as the default template. This way, unnecessary details will be removed.

  1. Go to the Gear icon.
  2. Select Custom Form Styles.
  3. Click New Style.
  4. Choose Invoice.
  5. In the Design tab, style your template.
  6. Go to the Content tab to customise the info on your form.
  7. Personalise your email message in the Email tab.
  8. Whenever you're ready to save your changes, select Done.

After customising, find the new invoice template in the Custom form styles page. Then, click the drop-down arrow under the Action column and select the Make default option. This way, when you create an invoice, it'll automatically use the new one.

You can also import and design your custom form styles for your invoices in QBO. To learn more about it, kindly refer to this article: Import custom form styles for invoices or estimates. It contains a step-by-step guide in executing the process and the answers to the most frequently asked questions about it.

Additionally, I'd also recommend clearing your cache and cookies often. This is to remove the older data which causes the systems performance issue and refreshes the system. For the detailed steps, you can refer to this article: Clear cache and cookies to fix issues when using QuickBooks Online.

Please let me know if you have other concerns. I'm just around to help. Take care always.
