Importing Inventory items into QuickBooks Online Plus - Upload does not allow zero Quantity on Hand

I need to import my Inventory of 6000 line items into QuickBooks Online Plus, but the upload does not allow products with a Quantity on Hand = 0

If I change the zero quantities to 0.00001 then the upload works, but then I have to manually adjust the quantities back to zero again afterwards. Any advice please?

Importing Inventory items into QuickBooks Online Plus - Upload does not allow zero Quantity on Hand

Thank you for dropping by here in the Community, Let me explain the accurate way to import Products and Services into QuickBooks Online (QBO).

QuickBooks doesn't allow you to import inventory items if you do not have the Quantity on hand, as this is one of the most important pieces of information required when importing an inventory list. You can have the option to import the inventory list with the temporary Quantity on hand and then adjust the number immediately afterward, or import using another Product and Service type like Non-inventory or Service, so that QuickBooks won't ask you for the Quantity on hand, then make the changes after importing them to QBO.

Before we start, please note that we can only import 1,000 rows at a time. If your list is longer, I recommend splitting it into smaller files.

In importing products and services, you may check this article: Learn how to import a list of your products and services from Excel or CSV to QBO.

If you've imported with the option using another Product and Service type, here's how to edit:

  1. Go to the Sales tab and select Products and Services.
  2. Select the Non-inventory or Service type you've created, then click Edit.
  3. Click on the Change Type option, then select Inventory.
  4. Enter the correct number in the Initial Quantity on HandSales PriceCost, and Reorder Point fields.
  5. Click Save and Close.

For more information, please refer to this article: Change product and service item types in QBO.

Furthermore, this article will be helpful if you need to track your stock in QBO: Set up and track your stock.

Importing Inventory items into QuickBooks Online Plus - Upload does not allow zero Quantity on Hand

Thanks for the reply, but the bottom line is that I will still have to amend every record individually afterwards, to either change the Qty or the Type. I don't agree with the fact that zero values are not allowed during initial upload, because how will I be able to run Out-of-Stock reports unless I have the zero Qty items in the system as Inventory. This may not be a problem when you only have a few items in Inventory, but it's thousands of line items in my case.

Thanks for the reply on the thread, MelD50.

We know that you have a large number of line items to import as zero quantity. I suggest using a third-party application for this task. I can provide you with the steps below:

Here's how:

  1. Login to your QuickBooks Online.
  2. Navigate to the left menu and then select 'Apps'.
  3. Click Find Apps.
  4. Type the desired apps into the search bar and press the search button.

Once you are connected to the desired third-party apps, you can begin importing your inventory.

I'm adding this article for more guidance: Change product and service item types in QuickBooks Online.

Just in case you want to run and customize reports to keep track of your inventory, you can check out this article for detailed steps: Use reports to see your sales and stock status.

Come back to this post if you have any other concerns or further questions about products and services. I'll be here to assist you.
