Overriding the customer's opening balance will depend on how many transactions they have in QuickBooks Online (QBO), @belinda3. With this, I'll share the two options regarding them.
The sales transactions, such as invoices, may have been created already for your customer. That may be the reason the system greys out the Opening balance field in their profile.
If there's a lot of existing customer transactions and you don't want to delete them, yes, we can override it. First, let's set up a service item for the opening balance. You'll have to use this when creating an invoice to enter its amount. I'll guide you how.
The screenshot below shows you the last three steps.
Once done, let's record an invoice from the + New menu. Then, manually enter the opening balance in the Amount column. Just choose the appropriate customer and service item you've created above. View the screenshot below for your visual reference.
If the customer is new and you only have a few of their transactions, I'd suggest deleting them to start fresh. Please take note that the deletion process is permanent. This way, you can enter their opening balance in the Customer Information window (see the screenshot below). After that, use the Audit Log to recreate those transactions in the program.
I recommend going to the Transaction List of your customer. You can print, send, view, edit, copy, void, or delete their transactions from the Action column.
