How to create a purchase order

I'm thrilled to guide you through the steps for creating a purchase order in QuickBooks Online (QBO), karabo.

 

Before we proceed, it's important to note that the purchase order functionality is exclusive to the QBO Plus and Advanced plans. If you are currently using the Simple Start or Essentials versions, you will be directed to an upgrade page when attempting to create a purchase order.

 

Meanwhile, if you're utilizing the Plus and Advanced versions, let's turn on the purchase order feature first before we get started on creating one:

 

  1. Sign in to your QBO account.
  2. Go to the Settings icon on the upper right corner of the page.
  3. Select Account and Settings.

  4. Choose the Expenses tab, then locate the Purchase Orders section.
  5. Click on the pencil icon and turn on the feature. You can add a default message on purchase orders if you want to.

  6. If everything looks good, click Save and Done.

 

We can now get started on creating purchase orders:

 

  1. Go to the + New on the upper left corner of the page.
  2. Select Purchase Order under Suppliers.

  3. Choose the supplier and enter the necessary fields to proceed.
  4. Once done, select Save and Send.

 

However, if you're utilizing the Simple Start and Essentials versions, consider upgrading your plan to add more accounting features.

 

Once you create a purchase order, its status will be marked as Open. After your supplier accepts the purchase order, you can then proceed to add it to an expense or bill to officially complete the transaction.
