When we import our expenses from Excel to QBO all of them are set to "unpaid". Is there a way to import them and they are set to "paid"?

Hi there, @bero.

I'm here to provide details about having the expenses to be marked as paid when imported into QuickBooks Online.

When importing bills in QuickBooks Online, they'll be marked as unpaid since the payment status is not included in the mapping. That said, having them tracked as paid isn't available.

To get your work done, you'll need to manually mark them as paid once they are imported into the system. Here's a link that provides the complete guidelines of importing bills in QBO together with its capabilities and limitations: Learn how to import purchase bills in batches to QuickBooks Online.

Know that our developers are always considering new functionalities to be added to the program to cope with your business needs. I'd encourage you to visit our QuickBooks Online Blog site regularly, to stay in the loop with our latest happenings.

Lastly, you can always scan through this article attached to give you more insights on the transactions that can be imported in QBO and on how to perform its procedure: We’ve assembled some frequently asked questions about importing data to QuickBooks Online.

I'm just a few clicks away if you need anything else, @bero. Just leave a reply below, and we'll take it from there. Take care!

@bero

You need to import the Bill Payment data to make it "paid".

RefNumberAPAccountVendorTxnDateBank or CC AccountPrivateNoteCurrencyExchangeRateToBePrintedBillApplyToLineAmount
2001 Staples01/11/2020CheckingBill Payment  N101375.53

Utilize the trial period of TPImporter to do so.

Hi @BettyJaneB thank you for clarification.

So I understand that when I'm importing thousands of bills each of them has to be manually marked as paid?! :-(

That would mean a lot of work and would hold anyone using any other accounting system to switch to QBO.
