Appending attachments to invoices

I tried to search the forums and google this, but didn't find an answer.

Is there a way to append the attachments to the invoice pdf?

So far I've been able to send the invoice and attach an hour bill as a separate file, but our customer is switching systems and wants us to send a single invoice document for email scanning.

Is there a way to add either image files or a pdf file to the invoice pdf and send it thru QBO or do we really need to do it manually?

Appending attachments to invoices

Hello there, BIMilizationInc.

Yes, there is. I'll show you how you can attach a file or a pdf file to your invoice. First, enable the PDF Attached in the settings.

    1. Go to the Gear icon and select Account and Settings.
    2. In the Sales tab, click Online delivery.
    3. Check the PDF Attached box.
    4. Click Save. Then, Done.

You can then follow these steps to add files to your invoice:

  1. Go to the +New button and select Invoice. If you've an existing invoice, open it by going to the Sales Invoices> filter the correct dates and double click to open the invoice.
  2. Click the Attachment icon and select the file you saved from your desktop.
  3. Make sure to tick the Attach to email box.
  4. Click Drag/Drop files here or the Attachment icon to add another attachment.

Email it through QuickBooks by clicking the Save and Send button. Or, you can follow these steps:

  1. Go to Sales and select Invoices.
  2. Find the invoice and click the drop-down arrow under the Action column.
  3. Then, select Send

Appending attachments to invoices

@SarahannC Thank you for your reply!

We do have that option selected and we are able to send the attachments as separate files no problem.

But my question was, am I able to send the invoice and the attachments as 1 single PDF file? Now it sends 2.

Appending attachments to invoices

Thanks for the quick response, @BIMilizationInc.

I appreciate you clarifying your invoice’s attachment concern. I have some information to add about this.

It’d be great to have all the product details and attachments in a single PDF file. However, this is currently unavailable in QuickBooks Online.

Your ideas matter to us. With this, I’d suggest sending feedback request to our product development team. They will evaluate these and pick some of them to include in future updates. This way, we can help you with your business needs.

Here’s how:

  1. Go to the Gear icon.
  2. Under the Profile column, click on Feedback.
  3. Share your feedback. Then, click Next.

You'll want to track your suggestion through this website. You can also visit our blog to keep up with all of our recent events and developments.

Additionally, you can email or print multiple invoices. You can also personalise your invoice template to add specific info. For the complete instructions, check out this article: Customise invoices in QuickBooks Online.
