Printed Payment Receipt doesn't match actual payment amount?Credit note does not appear on the payment receipt.

The credit note does not appear on the Bank Transactions or Receipt pages. This is because it is a non-posting transaction that does not affect the bank account; it only impacts the customer’s account profile, Corinna.


To successfully match the actual payment amount with the payment receipts recorded in QuickBooks Online, we have two options:

  • Option 1: Apply the credit note as a partial payment on the invoice. Then, match the remaining invoice balance to the payment in the Bank Transactions page.
  • Option 2: Create an invoice payment that includes the credit note as part of the total payment. Then, match the invoice payment to the payment in the Bank Transactions page.


Below are the steps for each option:


Option 1

  1. From the Bank transactions or Receipt page, click the + New button.
  2. Select Receive Payment, then choose the customer in the Customer field.
  3. Enter the Payment Date and choose the bank account in the Deposit To field.
  4. Under Outstanding Transactions, select the invoice and ensure the PAYMENT field reflects the credit note amount.
  5. Under the Credits section, select the credit note.
  6. Ensure the AMOUNT RECEIVED is 0.00.
  7. Click Save and Close.

  8. Return to the Bank transactions page and match the bank transaction (customer payment) to the open invoice.


Option 2

  1. From the Bank transactions or Receipt page, click the + New button.
  2. Select Receive Payment, then choose the customer in the Customer field.
  3. Enter the Payment Date and choose the bank account in the Deposit To field.
  4. Under Outstanding Transactions, select the invoice and ensure the PAYMENT field reflects the ORIGINAL AMOUNT or OPEN BALANCE.
  5. Under the Credits section, select the credit note.
  6. Ensure the AMOUNT RECEIVED equals the invoice amount less the credit note amount.
  7. Click Save and close.

  8. Return to the Bank Transactions page and match the bank transaction (customer payment) to the invoice payment.


Following these steps will eliminate discrepancies between the actual payment amount and what is recorded in QuickBooks Online.
