How to email batch invoices and statements

You can navigate the Sales menu to send batch invoices and statements in QuickBooks Online (QBO), Anne. I'd be happy to walk you through the steps.

 

Before proceeding, ensure you've entered an email address, then select Save and Send to email your customer the batch invoice and statement.

 

To email an invoice to your customer, follow these steps:

 

  1. Select Sales on the left menu, then choose Invoices.
  2. Find the invoice in the list of transactions.
  3. Check the box next to All Invoices to select them for sending.
  4. Select the dropdown in the Actions column, then choose Send to email the invoice to the customer.

On the other hand, to help you send batch statements to your customer, here's how:

 

  1. Go to the Sales menu and select the Customers tab.
  2. Tick the checkboxes for the customer or customers for whom you want to create statements.
  3. In the Batch actions dropdown, select Create statements.
  4. In the Statement Type dropdown, click the type of statement you'd like to make:
    • Balance Forward: A list of invoices and payments with balance for the date range selected
    • Open Item: A list of open, unpaid invoices from the last 365 days
    • Transaction Statement: A list of transactions between the selected dates
  5. Fill in the date fields and select Apply.
  6. Click Save and Send.

Once your customer processes their payments, you can record these payments to mark your invoices as paid and make your account accurate.

In addition, you can run a Transaction List by Customer report to review all transactions per customer and track both paid and unpaid invoices.
