How can i give a read-only access to my audit team. I want them to view all my quickbooks data but i dont want them to be able to change any thing. Is this possible?

I want my audit team to be able to view all my quickbooks entries and data to review my data entered to date. So that they can suggest any corrections or compliance related issues to my accounts team. But i dont want the audit team to be able to change anything in the system. Is this possible for me to create a user with only read only rights to my entire quick books account?

I am not certain about International but US versions allow an "unlimited" number of Read Only users that do not reduce the number of regular users your subscription allows. If your version has this option you will see that selection for user type and/or restrictions when adding a user

But Reports Only (Read Only) users do not subtract from  subscription users

Reports Only (QuickBooks Online's Read Only access) - These users have read only access to all reports (except Audit Log and Payroll Reports). They can create a group of reports, memorize a report, and drill down as far as transaction reports but they don't have the ability to view the actual transaction. This user is only available in QuickBooks Online Plus.

However, the OP may want their audit team to be able to view actual transactions, which a Reports Only user cannot do (seems like QBO needs another user category or ability to allow a user to view all transactions yet edit none

They can "drill down as far as transaction reports but they don't have the ability to view the actual transaction", so transaction report should be enough, as I think that shows everything that's on the actual transaction, if you can add columns. But I would think they want to see the audit log

Depends on depth of audit. Some audits are simply to verify that the numbers in ancilary reports add up

My audit committee would like to view receipts attached to each transaction. Will I need to create them as a Standard User or can I get away with Report Only user? The downside of Standard User is that they are able to make changes (accidental of course). Ideas?

Yes. You'll have to add them as Standard user, gordon5.

 

This type of user can edit, add, and delete customers, vendors, products, and services. However, they can't modify any bank accounts. 

 

Here's how to add a user:

 

  1. Click the Gear icon, and then select Manage Users.
  2. Click Add user.
  3. Select Standard user, and then Next.
  4. In the Select access rights page, select Limited.
  5. Select either Customers or Vendors. You can also select both.
  6. Click Next.
  7. Modify the user settings.
  8. Click Next.
  9. Enter their contact information, and then Save.

This is definitely a missing feature for QBO.  I too need our auditors to see all of the attached documents (receipts, bills, etc).  There should be a "read only" option that allows the user to see everything.  I don't want my auditors to be able to delete or change anything.  I would love to use a read-only auditor year-round for accountability reasons.

While you can give the Reports Only access to your auditors at the moment, you can send a request about this feature. Let me show you how:

 

  1. Select the Gear icon at the top, then Feedback.
  2. Enter your comments or product suggestions then click Next.
  3. You'll be provided a list of suggested Help articles related to your comment. You can read through them or select Skip and send message.
  4. From the drop-down, choose the appropriate category, then click Send message.

This is ridiculous that there is no "read-only" option for all transactions. It is specifically why we transitioned to QBO.  I am not going to give  five different people editing rights to the data, which would guarantee accidental errors.  Reports are great but now I have to answer every detailed question when they come up.

 

PLEASE DISCLOSE that there is NO read-only option when you push this product on people.  Very disappointing and completely ridiculous.  Especially because I can't revert back to Desktop now that we're online and the Desktop product is far superior.  

 

I will avoid doing business with Intuit and QB in the future if at all possible.  Xero is essentially the same and a lot less hassle and fraud.

I do not understand why such an important feature is left out and QB are doing nothing about it. Ridiculous indeed.
