How to combine two company files to use single USER ID?

Welcome to the QuickBooks Community, @rdomdabulo2012-g.

 

Having a single login for your 2 companies is an easy way to reduce your login time.

 

With QuickBooks Online (QBO), you can have one sign-in for each of your company files. For instance, you can use the same User ID and password when setting up 2 or more company files. Also, merging two companies to have a single user ID is not an option. To find out more, check it out: Can I merge multiple companies into one? 

 

As a workaround, you can export the data from one company and import it the other you want to use. Here's how:

 

  1. Log in to the company you no longer want to use.
  2. Then, go to the Gear icon and click Export data.
  3. Choose all the data you want to import.
  4. Once done, click the Export to Excel button.
  5. When finished, you'd see a .ZIP file containing the exported data. 
  6. Next is to import the files to the other QBO company.

Another option is to change the email or user ID of one of the companies to have one login. Let me guide you how:

 

  1. Choose the email address you’d like to use for the two companies. This will be called email A and email B for the email longer want to use.
  2. Sign in to the company that you access with email B.
  3. Next, invite email A to the company. You'll need to select a user type. Select Company Admin if you want email A to be able to manage other users and company info. 
  4. Then, go to your inbox for email A and click the invite link you received there. Email A can now access the company.
  5. Also, if you want to change primary admin and remove email B, please refer to the steps in this article: Sign in to multiple QuickBooks Online companies with one user ID.

Just to clarify your needs. Do you need to combine/consolidate reports from both QBO accounts, OR merge data from both accounts into one QBO account?
