How to Give a Virtual Assistant Access to My QuickBooks, But Not Allow to Initiate Any Fund Transfers

I want to give access to my Virtual Assistant to my QuickBooks Account to see all transactions, categorize them, and reconcile books, but not initiate any bank withdrawals or transfers.

Is this possible in QuickBooks? If yes, what version allows it, and how can I proceed?

I appreciate any help you can provide.

I appreciate you visiting the Community page for the first time, austin121. I can some insights about giving users access to your QuickBooks account.

 

You can invite or add users to your account through the Manage Users page. However, restricting them from initiating any bank withdrawals or transfers with free access to see all your transactions, categorize, and reconcile them is not an option for now.  

 

I understand the significance of this feature for your business to invite your virtual assistant successfully. While it's not yet supported, you can proactively send a feature request directly to our product developers to evaluate the possibility of incorporating this in future updates.

 

To start:

 

  1. Go to the Gear icon, then Feedback.
  2. Enter your comments or product suggestions.
  3. Tap Next to submit.

 

Once done, your valuable suggestion goes to our Product Development team to help improve your QBO experience. You can track feature requests through the QuickBooks Online Feature Requests website.

Additionally, you may also give your accountant access to your books. Accountant users possess additional privileges that let them undo entire reconciliations, reclassify transactions, and write off invoices. They can also utilize specialized accountant tools to assist you in preparing for taxes.

I have the QuickBooks online version, so does this version specifically does not have this feature or does this feature not exist in any of the QuickBooks versions?

As previously mentioned, the option to create a custom role that grants access to customers and initiates any bank withdrawals or transfers is unavailable in QuickBooks Online. Please know that we're actively considering user feedback like yours to shape the future development of our platform. By sharing your suggestions, you're contributing to the QBO's growth and enhancement. Here's how:

 

  1. Sign in to your company.
  2. Go to the Gear icon.
  3. Choose Feedback.
  4. Enter your comments in the description box.
  5. Click Next to submit your inputs.


However, it's important to note that this role will grant access to other areas of the program as well. Although it may not offer the precise set of restrictions you're seeking, this can still assist your team in effectively fulfilling their responsibilities.
