how to set up approval workflow for users

You can set up a workflow for users by setting them up as the approver, Roland.

 

First off, please know that the only users who can access workflows are the primary admin, company admin, and the accountant users.

 

Given these, you can consider editing the role of a specific team member to that of a company admin. This way, you can set them as the approver on your workflow. Please also be reminded that the number of company admins you can add as user permission varies according to your QuickBooks subscription:

 

  • QuickBooks Online (QBO) Simple Start - Can't add company admin.
  • QBO Essentials - Can add up to 2 company admins.
  • QBO Plus - Can add up to 4 company admins.
  • QBO Advanced - Can add up to 24 company admins.

 

Now, create a workflow Approval where you can add your company admins as the approvers of this workflow.

 

  1. Go to Workflow automation, then select Templates.
  2. Click + Custom workflow and select a record for your workflow and the Approval action to perform.
  3. Hit Next.

  4. Enter the workflow name.
  5. From there, you can add your company admins as the approvers by clicking the Request approval from boxes.
  6. Select Save or Save and turn on to turn on your custom workflow.

Once you're done, you can add another custom workflow with Reminder or Send actions. Here's how:

 

  1. Go to Workflow automation, then select Templates.
  2. Click + Custom workflow and select a record for your workflow and the Reminder or Send action to perform.

  3. Set the actions (what do you want QuickBooks to do) and conditions (when this happens) for your template.
  4. Select + Add another condition to another condition.
  5. Choose approval status, whether it's Approved, Denied approval, Pending approval, or Needs approval.

By doing this, the workflow for sending transactions or reminders will operate based on its approval status.
