In QuickBooks Online, there are two options for downloading bank feeds. When you connect your bank and credit card accounts, QuickBooks automatically downloads transactions up to a certain date. To connect multiple businesses and personal bank accounts to keep your business information up to date in QuickBooks. Here's how:

 

1. Go to Transactions, then select Bank Transactions.

2. Then click on Link Account.

3. Enter the URL or name of your bank in the Search field and select the bank.

4. In the Login and Password fields, enter your Sign info, then select Continue

5. Choose the account you want to connect and select the date range for pulling transactions from the dropdown menu. Then, click Next.

Note: Some banks allow downloading the last 90 days of transactions, while others may go back up to 24 months.

6. Select your Account type from the dropdown menu and click Next.

Note: Choose the account type that matches your chart of accounts in QuickBooks. If you don’t see the correct account type, select +Add new.
 

The second option would be manually uploading your transactions, if you want to enter old transactions, can’t find your bank, or connect it to QuickBooks. You can check this article for detailed steps: Manually upload transactions in QuickBooks Online.

Additionally, once your transactions have been downloaded, match and categorize them, and then reconcile your account so it always matches your monthly statements.

Sorry I wasn't clearer on the post, I had some trouble logging in and getting the right wording.

 

I have NO problem with bank feeds I can do it seamlessly.  The issue is that I am sometimes away from the office and I am trying to allow QBO to let my colleague download the bank feed with her own bank security fob (you need to enter a code after you click update) the fob creates the code for you.

 

However every time she tries to update it just returns an error (screenshot below).

So we have been trying to ask if 

1) it's possible to have 2 separate users in QBO that can update the bank feed

2) How to add the second user.

 

We can't seem to get a straight answer to these questions on help articles or talking to support.

 

Separately I was also asking QBO the possibility of entering a secure code using the banking mobile app instead of the banking fob.  These fobs are expensive to produce (they look like a little calculator) and are slowly being phased out by banks.  Mobile phone apps allow you to generate a security code and I need to know if QBO will allow this in the future?

Is it possible to have two separate users in QBO that can update the bank feed? 

 

Yes, it is possible for multiple users in QuickBooks Online (QBO) to have the ability to update bank feeds, provided they have the appropriate user permissions. Here’s how you can enable this:

 

  1. Go to the Gear icon and select Manager users.
  2. Click Add users, then enter the user's name and email address. They will receive the invitation through their email address.
  3. Choose a role in the Roles dropdown. You may need to choose either In house accountant or Standard all access role to have your user access to banking.
  4. Hit Send invitation.

How to add the second user and ensure they can update bank feeds?


Even with the correct permissions, there could be additional security settings with your bank that need to be addressed:

Update Financial Institution Settings:

  • Contact your bank to ensure they allow multiple users to access and update the bank feed for the same account via QBO. Some banks might have restrictions or additional security settings that need to be configured.

Multiple Token Authentication:

  • Ensure that your colleague is using the bank’s security fob correctly and that the bank allows multiple tokens for the same account. If errors persist, it’s advisable to confirm this with your bank’s tech support.

 

The possibility of entering a secure code using the banking mobile app instead of the banking fob?

 

Many banks are transitioning from physical security fobs to mobile app-based authentication for generating secure codes. Here’s what you need to know:

  1. Check with Your Bank:
    • Verify with your bank if they offer a mobile app that generates secure codes and if it can be used with QBO’s bank feed update process.
  2. Future Support in QBO:
    • As for future updates, Intuit is constantly working to improve QuickBooks Online functionality. You can submit a feature request to let the product team know about the importance of supporting mobile app-based secure codes.

 

Regarding the difficulty logging into the support channel, I recommend resetting your password. On the login page, click I forgot my user ID or password and follow the prompts to reset it. You can also contact our QuickBooks Online support to have a personal assistance with your account concerns.

Thank you for the comprehensive reply.

We will try to reach out to HSBC but they have never been much help regarding a QBO enquiry and normally throw us straight back to you at QBO.

 

But I'll see if I can get anywhere.

 

If you're saying that multiple bank fobs are the remit of HSBC and not QBO then we'll see if I can get an answer from them.

 

If I manage to get a reply re mobile secure log in codes I will post it here as well.

 

Currently trying to resolve my login crisis with support right now. But yes I am Bugs1 but apparently I'm Bugs2 as well now!
