All of a sudden payroll doesn’t match in bank download. The payers Intuit and shows computer expense. Why?

I'm here to ensure you can match your payroll transaction to the downloaded bank transactions in QuickBooks Online (QBO), @barb75. This way, you can keep your financial data accurate and payroll reports updated.

Please know that QuickBooks relies on the information or data supplied by the bank; what the bank provides is what QuickBooks will interpret. Consequently, this affects how the system perceives it.

If there are existing bank rules, these can affect how transactions are classified based on the rules set up in your account. Additionally, if there are transactions with similar details already in the system, QuickBooks could recall their previous categorizations and apply the same categorization to new, similar transactions.

If none apply, you'll want to manually Edit each transaction and recategorize them on the Bank transactions page. This way, you can categorize them without affecting other transactions. Please refer to the steps below:

  1. Hover to Transactions, then Bank transactions.
  2. Tick the box next to the transaction you’d like to modify.
  3. Click the Edit button.

  4. In the Account field, select the category you want to apply to the transaction.
  5. Once done, click Apply or Apply and accept to confirm the changes.

Also, I'd recommend reconciling your accounts every month. This is to effectively monitor your income, and expenses, and make sure they match with your real-life transactions.

Let me know if you have other concerns about categorizing and matching bank transactions in QuickBooks. I'm just around to help. Take care always.
