Best practice to enter current data and backlog data in parallel?

Hi All,

 

We just subscribed QBO+ and going to transfer manual data into the system. We are planned to start current entries in the system and in parallel enter the backlog data.

 

E.g. July is the start of the fiscal year and we start entering data from Jul-2019 to onward. And in parallel want to enter the backlog data (from Jan-2018 to Jun-2018 and from Jul-2018 to Jun-2019). One team will handle current data entry (i.e. from Jul-2019 to onward) and another team will handle the backlog data (i.e. from Jan-2018 to Jun-2018 and from Jul-2018 to Jun-2019). 

 

Now, may we create 2 companies with same name for current and backlog data entry? And merge both companies once the backlog data entry is finished.

 

Or we should use one company and let the teams to work under their respective periods? And reconcile the ending data of Jun-2019 with the beginning data of Jul-2019

 

Or there is any other best practice for the said requirement.

Hello there, @Abdul Rehman.

 

Yes, you just need to setup one QuickBooks Online company. From here, you can add authorized users to enter your backlog data simultaneously.

 

To add a user, here' how:

  1. Go to the Gear Icon (⚙).
  2. Click Manage User.
  3. Select the Add User button.
  4. Choose the user type, then click Next
  5. Pick the Access rights you want the user to have, then click Next.
  6. Enter the user's contact information.
  7. Click Save

Utilize the importer tool to migrate your backlog data. You don't need to open a second QBO account.

Actually our backlog data is manual not on any other system. Please share any other suggestion, as import tools will not suite here.

If your data in XLS/CSV, you may consider to utilize the importer tool.

But basically there is logical question irrespective we use the import tool or not. I will request to re-visit my original post and guide accordingly. If you get any ambiguity (in getting my point of view) then feel free to put questions here for more clear picture please.

You may open the second account for your backlog team. But how do you merge them later? I am not sure company have any service yet to merge any QBO account. It is why you will need the migration tool or purchasing a 3rd party migration service to take care of it.
