Is there a way to save email addresses when sending reports from QBO?

I send reports to the same people every week and I manually type their email addresses in the To: and Cc: fields. Is there a way to create an address book or save their email addresses so I don't have to type them manually each time?  I know this can be done for sales forms but can't find a way to do it for reports.

Thank you for reaching out to the Community. Yes, you're correct you can save an email address in the Sales forms. However, sending reports to their email address automatically is unavailable in QuickBooks.

Thank you for the reply.  I would be happy if I could even just have a contact/address list from which I could pull an email address, or an autofill feature which predicted addresses to which I have sent previous reports. Do you know if anything like that is possible.  Thanks again.

In QuickBooks Online (QBO), the ability to autofill email addresses when sending reports is currently unavailable, as mentioned by my colleague above.

 

However, if you're sending the report to your customers or vendors, you can run the Customer/Vendor Contact List report and export it to Excel so you'll have a list of their email addresses. Here's how:

 

  1. In QBO, go to the Reports menu at the left pane to get to the Standard reports page.
  2. Type Customer or Vendor Contact List in the search field and select it in the drop-down to open.
  3. Click the Export button at the top right between the Gear and Print icon.

 

On the other hand, if you're not sending it to your customers or vendors, you can create an Excel spreadsheet and enter their email addresses manually as a workaround.

Thank you for trying to help. I have the same issue: there are co workers I need to emial reports to frequently, so I'd like to be able to save their email address to save time and typing errors. I was hoping if I saved their email address with their employee info it would work, but no such luck.

This function need to be set up as it is very very frustrating not to be able to scroll down and select the email you need.  This should be a basic function that should have been done years ago.

We use QB to save time and to type out emails every time is not saving time at all and real annoying.

I have the exact same issue. Is there an actual date as to when this will be an option? As looking back on all the comments people have been asking since the beginning of 2020 and yet this basic function as yet to be added. It also does not save the emails sent under sent emails under the specific vendors.

I spend $500 a month on Quickbooks Enterprise and I am beginning to be very annoyed by the limited functions you actually have and this being one of very many. 

I am starting to look into different programs that have more functions.

For example setting up a vendor you have to go to 5 different places to add info when it should just auto populate in all the fields it belongs to. You should have to go into Vendor.

It is incredible frustrating that this "feature" has not been implemented yet.  It really is a very basic function - I too have to email the same reports to the same people on a weekly basis and manually typing in the addresses is time consuming and prone to typing errors.

This isn't the kind of impression I'd like you to have. Let me share a workaround with you to be able to save the email addresses when sending reports from QBO.

 

I'd recommend you save the report as scheduled. This way, you'll be able to save the email under Custom Report. 

 

Here's how:

  1. From the left menu, open Reports.
  2. Run the report that you need to send. Then, click Save Customization.
  3. Hit Save, then close the report.
  4. Go to the Custom Report tab.
  5. Choose the report you want to save as scheduled, then, click Edit.
  6. Turn on the Set an Email Schedule.
  7. Click Save.

I have already looked into this and it's not a helpful workaround.  I have a bunch of tasks I have to complete before I can send the report which is due at a certain time of the day each week (ahead of client's management meeting).  I cannot set a time for the report to be emailed as far as I can see. 

I'd like to be able to save email addresses for a report, choose from a drop down list or or at least have QBO guess the email address for employees (which are saved in their employee record) as they are typed in.  Lots of people need this same feature, and we just get the same workaround given.  You haven't even given any indication if this is on your development roadmap.

I know how imperative it is to be able to save email addresses when sending reports. While this option is unavailable, I'd encourage sending feedback. This way, our product engineers are able to work on it as soon as possible. 

 

Here's how: 

  1. Select the Gear icon at the top, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit feedback.

I too would like to be able to save a few email address so that I don't have to copy and paste them from my mail program.  this would save me a couple minutes every month.  coupled with the rest of the users, it would save literally years of time.  considering you keep increasing your rates, it would be the least you could do for us.

I'd also like to ask if you're using QuickBooks Desktop 2022? I'd suggest repairing your QuickBooks software. This process can resolve some of the most common errors when working in the software. Here's how:

 

  1. Restart your computer. This makes sure there are no programs that may affect the repair.
  2. Open the Windows Start menu, then select Control Panel.

    Note: If you're using Windows 8 or 8.1, search "Control Panel" in the Windows Start menu.

  3. Select Programs and Features, then click Uninstall a Program.

    Note: If you don't see Programs and Features, select Programs instead. Then select Program and Features.

  4. Click QuickBooks from the list of programs, then Uninstall/Change.
  5. Select Continue, or Next.
  6. Click Repair, then click Next.

    Note: The repair should start right away, but it may take a while to finish. You can leave it running, and come back once it's done.

  7. Click Finish.
