Problem with custom Estimate template based on Word

I followed these instructions to create my custom QBO estimate form. The pdf of my custom form looks great now, but I see the following issues that I was not able to resolve myself.  

 

1. When creating a new Estimate using my custom template I noticed that QBO presents many non-applicable cells on the Estimate page that don't exist in my custom template, e.g.  Rates, Service Date, Shipping, and etc. This is confusing for my staff. How can I ensure that the QBO Estimate page presents to the user only applicable field per my imported Word estimate template? 

 

2. I sent out a test Estimate based on my custom template and found that the Estimate email generated by QBO shows in the body of the email extra columns, e.g. Service, and Rates. The Rate column is not applicable to me but QBO calculated it by dividing the amount by Quantity, which is wrong and would confuse our customers. How can this be fixed? This issue is a serious blocker for us and it prevents us from using Estimate QBO feature. 

 

3. How can modify by Word QBO Estimate template to be able to provide only a flat fee cost in the estimate?  We are doing steel fabrication, so rates and cost itemization is not applicable for our estimates. We just need to be able to assign cost X to services listed in the estimate without showing the rate or the cost breakdown between listed services in the Estimate.

Thanks for posting here! Let me share more details about importing and using a customized estimate.

 

We can remove those fields that you don't want to appear when creating an estimate. You can follow these steps:

  1. Go to the Gear icon and select Account and Settings.
  2. From the Sales tab, click the Sales form content and Products and services section. You'll see all the fields you mentioned.
  3. Turn them off and click Save, then Done.

For the second concern, we can change the email settings. QuickBooks Online uses the email setup of the default estimate template when sending emails with the imported form. Please follow these steps:

  1. From the Gear icon, select Custom form styles.
  2. Find the Default Estimate/Standard and click Edit.
  3. Click the Emails tab and select Summarized details.
  4. Hit Done to save it.

In regards to the third concern, the amount that will reflect is based on what you set up. Once the rate field has been turned off, it won't show when you print or send the estimate. What you'll want to do is add the fee cost in the Amount field.

Hi Alex, 

 

Thank you for prompt response. What is implied by the "Default Estimate"? As I mentioned above, I made my Word based Estimate template as default. It does not have an option to edit via Gear-> Custom Form Styles menu. 

 

There is a Standard form that comes with QBO (form type - Master). Is this what you meant by "Default Estimate?"

Yes, you are correct, the Default Estimate refers to the Standard template which has a Master form type. This type of template decides how data is handled and shown in all your forms. That said, QuickBooks uses the email setup of the default estimate template when sending emails.
