How do I edit a Tax Agency?

Hello there, jngari,

Let's update your tax agency's information.

There are things that you need to know before correcting the agency's information: 

  • You can only edit component rates.
  • To check a combined rate, make changes to its component rates.
  • You can't make changes to the Tax Rate field.
  • If the rate needs to change, deactivate the existing tax name and rate.
  • Then create a new tax with the rate you want.

If you want to edit a tax rate, here's how:

  1. Go to Taxes from the left menu.
  2. Under the Related Tasks list on the rightchoose Add/edit tax rates and agencies.
  3. Choose the rate that you want to change then select Edit.
  4. Enter the new rate. 
  5. Select Save.

Once done, please be reminded that the new rate is available for new transactions only and the earlier rate can no longer be used.

On the other hand, if you're referring to an agency's name, here's how:

  1. Go to Taxes.
  2. Under the agency name, choose Edit.
  3. Enter the new name, then select Save.

Editing the Sales Tax Agency's name is possible through the Taxes page. However, the agency name that'll show on your sales forms would still be the old name or the initial name that you've entered.

As mentioned by ReaM above, were able to change the sales tax agency name through the Taxes page but the agency name that'll show up on your sales forms is the initial name created.

 

To edit a tax agency name:

 

  1. Click on Taxes at the left pane.
  2. On the Tax page, click on the drop-down arrow beside Tax and select the correct agency.
  3. Click on Edit (name of the tax agency) beside Add tax.
  4. Tap on Edit Settings.
  5. Update the name under Tax agency name.
  6. Hit on Save.

To update the tax agency name on your invoices, you can add a new agency with the same information or rate with the old one. 

 

To add a new tax agency:

 

  1. Click on Add tax on the Tax page.
  2. Under Add tax, select Custom tax.
  3. Fill in the necessary information and add a new tax agency.
  4. Tap on Save.

Once completed, use that agency name to your invoices.

I appreciate you for proving a screenshot and I'm glad to share steps on how you can change/rename the National Board of Revenue in your invoice.

 

I suggest going to the Tax page. From there, you can change or rename the National Board of Revenue.

 

Here's how:

 

1. Click Taxes from the left-hand pane.

2. Click the Edit Tax/Vat drop-down button. Then, select Edit Settings.

3. Edit or correct the name of the tax agency name.

4. Hit the Save button.

 

However, when you print/preview your invoices with the edited/updated Tax Agency name, it will still show the wrong or previous tax name. This is because it has been reported as an ongoing issue.

 

I suggest contacting our QuickBooks Support Team, so they can add you to our notification list. This will help our product engineers determine the number of affected users. You'll also receive an update through email once this has been resolved.

 

As a workaround, you can create a Custom tax to be able to set up new Tax name or VAT information and apply it to your sales transactions. Please follow these steps:

 

  1. Click Tax at the left panel.
  2. Select the Add tax button.
  3. Choose Custom tax.
  4. Fill in the necessary field.
  5. Hit the Save button.

Setting up the new Sales Tax Center in QBsOnline

 

I Chose Wisconsin by accident for WV Sales Tax

 

I cannot find a way to change it to WV Department of Revenue and now all my sales tax say Wisconsin. 

 

I need it to be WV Department of Revenue

I have some information about changing your sales tax agency. All you have to do is edit it from the settings. Let me guide you how.

 

  1. From the left menu, choose Taxes and then Sales Tax.
  2. Under Related Tasks, select Add/edit tax rates and agencies. See the attached image below.
  3. Highlight the tax agency you want to edit, then tap Edit.
  4. Enter the new name, then click Save.

If you're using the new sales tax center, follow these steps:

 

  1. Go to Taxes.
  2. Select Sales tax settings from the top. See the image below.
  3. Tap Add agency and then choose the correct Agency from the drop-down.
  4. Enter the Start date.
  5. Click Save.

After that, you may need to create a journal entry to move the tax amounts to the correct agency. I recommend consulting with an accountant to make sure you're recording it correctly.

How do I edit a Tax Agency?

We already have WV. We also accidentally have Wisconson. I made Wisonsin inactive. 

 

The problem lies under custom rates. The account we have used for state sales tax since 2004 is now linked to Wisconson Department of Revenue.

 

We need it changed back to West Virginia Department of Revenue.

I can help you update your rates according to your preferred state, SM7010.

 

While the option to edit the agency of the tax rate you added, you'll want to make them inactive and add rates using West Virginia. Let me show you: 

 

  1. Go to the Taxes menu and click Sales Tax.
  2. At the upper-right, click Sales tax settings.
  3. Under Custom rates, click the drop-down arrow beside Edit on the rate you want to make inactive. 
  4. Click Make inactive.
  5. Then, click Add rate to create new ones for the West Virginia agency.

If there are existing transactions that you need to edit using the new rate, you'll have to manually open them individually and toggle them to the correct rate.

We do not need to create a new one. We need the previous one back to West Virginia. 

 

That is where every invoice currently and historically is linked.

I understand that you need to edit the sales tax and assign it to the correct agency. Let me share some details about it.

 

Currently, the best option is to make it inactive and create a new custom tax rate while we're unable to edit the agency. In QuickBooks Online, making a tax rate inactive doesn't mean you deleted it. It only removes the rate from the tax page but the data is still on your account to make sure it is intact and accurate.

 

Follow the steps in this article to create a custom rate: Use custom rates to manually calculate taxes on invoices or receipts.

 

Once done, you'll need to update the transactions and assign them to the new and correct rate. Run the sales tax liability report. From there, you'll see the inactive rate cause it has the Inactive word in it. Click the corresponding amount to see the list of transactions affected. Then, select one so you can edit them.

Also, now all of my past sales tax reports are listing Wisconsin instead of West Virginia

Were you able to deactivate the tax agency for Wisconsin? If so, you can proceed to editing the taxes in the transactions to correct your sales tax reports. Here's how:

 

  1. Open each invoice with an incorrect sales tax.
  2. Go to the section where you can see the tax amount, then click the See the math link.
  3. Click the Pencil icon in the Your tax agency and standard rate section. 
  4. Edit the information to West Virginia. 
  5. Click Save and continue.

 

There's also an option to create a sales tax adjustment to zero out the amounts that are reported under Wisconsin. Here's an article as a guide: Create or Delete a Sales Tax Adjustment.
