HiWe are using QBOL with D-Tools. We are using inventory function I will have to invoice from quotes. Is there an add on that will let me bill quantities not %/Totals?

Is there an addon that will work with Dtools & give me quantity invoicing? My Company part invoice - % doesn't always work ie 33% & Totals mean that you have to work out pricing line by line. Neither option is great - % gives you inventory issues & Price totals is not great for productivity.

While I can assist with the QuickBooks side of invoicing, D-Tools controls how your quotes are mapped to our system. To avoid the manual work you mentioned, it's best to consult with D-Tools support. They can recommend an add-on designed to handle quantity billing that's fully compatible with their software and QuickBooks Online (QBO).

However, if you are creating quotes directly within QBO, you can utilize the progress invoicing feature to convert a quote into an invoice while adjusting quantities. To get started, you need to enable this feature by navigating to Settings > Account and Settings > Sales > Progress Invoicing > Edit, then toggle it On.

Once enabled, you can follow these steps to convert an estimate and invoice it by quantity:

  1. Go to the Customer Hub > Quotes.
  2. Locate the quote, click the drop-down arrow next to Send, and select Convert to Invoice.
  3. Choose Manual entry for each line, then hit the Create invoice button.
  4. You can then update the quantity for each line item as needed.
  5. Once done, click Save.

You can keep track of your progress invoices on the Invoices page.

Hi Thomas

I already had progress invoicing switched on.

I am working in the Australian Edition & I am wondering if this makes a difference as  your suggestion does not seem to work.

After I received your answer, I specifically created a quote in QBOL. ( I thought I had tried this previously but wanted to check) I changed the quote from pending to accepted.

When I go  to invoice the quote. I select manual entry & select individual items - the quantity is greyed out

Even when the quote is created within QBOL.

I have the alternative of toggling between % & total & that is all.

My company  bill large jobs with large numbers of inventory lines per job - so to issue an invoice using totals this way is going to give me real productivity issues on an ongoing basis .

Hence my question about an add on - if I can not resolve the quantity issue.

Is the total / %  option something that is peculiar to the Australian Edition ?

Please let me know.

When progress invoicing is enabled, the quantity field is intentionally greyed out to prevent users from accidentally exceeding the totals established in the original quote.

Regarding the total and the percentage option, this is not peculiar to the Australian Edition. It is a universal feature in QuickBooks Online. These two are quick-pick buttons that let you decide exactly how much of a project you want to bill your customer.

While you can't type directly into the quantity box, you can record the exact amount you need by entering a dollar value or percentage in the Due field. The system will then generate the quantity for you.

For example, if you choose the $ option for a $100 item and want to bill for an inventory of 5, enter $500. The program will then calculate and update the quantity to 5.

The same logic applies to the %. Simply enter the percentage of the total, and then the system will generate and fill in the corresponding quantity.

In QuickBooks Online (QBO), when an estimate is partially invoiced, its status changes to Accepted. Only the line items that are fully invoiced will be marked as Closed.

When converting an estimate to an invoice and adding only certain line items, select the Manual entry/Custom amount for each line option, then choose Copy to invoice. To adjust the quantity for those items, click the Qty/Due column and enter the desired amount in the total estimated value field.

Once all items have been invoiced, the entire estimate transaction will transition from Accepted to Closed.
