Is there any way of creating an invoice template for one customer only? Eg: I have a customer who requires certain info on their invoice that others don't need

This one customer has certain wording that I have to add to their invoice and it is such a hassle to type on each invoice. Quickbooks should try and set up in the Customer profile a template tab that can be applied to each customer

I have a workaround on this, @grantlisa-brydon

 

It only takes a few clicks to create an invoice template in QuickBooks Online. Add I'm happy to outline the detailed steps with you so you'll be a pro in no time.

 

Good news because QuickBooks Online (Simple Start, Essential, Plus, and Advance) has a feature that you can customise the appearance and layout of your sales forms (Invoice, Quote, and Sales receipt). To do this, follow the steps below: 

 

  1. Go to the Gear icon and choose Customer form styles
  2. Select New style and pick Invoice
  3. In the Design section, you can add a template, logo, color, font, and EFT information. 
  4. Select the Content button. 
  5. Click the three pencil icon one at a time and input the details you want to add. 
  6. On the Email page, you can update the Standard and Reminder email for that specific customer. 
  7. Click Done
  8. Hit the drop-down arrow beside Edit and rename the template name.

Every time you create an invoice for this specific client, ensure to use the personalized template you created. Here's how to check if you use the correct template: 

 

  1. In the Invoice form, click the Customize button in the bottom part. 
  2. Select the template you've created. 
  3. You can also hit the Print or Preview to see what the forms look like.

Additionally, ensure that you have a default invoice template for other customers. As a result, the custom template you created will not apply to another customer.

Does the “Customise” tab on the invoicing page available only to admin? My coworker who is a standard user can’t see the tab.

Thanks for joining the thread, @Lucas_Tan.

 

Upon checking, my standard user was able to see the Customize tab in the invoice window. Please take note that this function is only available to users whose access options are All access, Limited (customer only), and Limited (customers and suppliers)

 

It's possible that too much cache build-up in your current browser might be the cause of the issue. This is the reason why your coworker was unable to see the tab. 

 

To isolate the issue, I'd suggest opening their account using a private window. This will help us verify if the problem is related to a cache issue. Simply press the following shortcut keys to access this mode:

 

  • Ctrl + Shift + N (Google Chrome).
  • Ctrl + Shift + P (Firefox ).
  • Control + Option + P (Safari).

 

If it works, ask them to clear their browser's cache. Doing this will delete temporarily stored files and free some space on their browser. They can also use other supported, up-to-date browsers if the issue persists.

Hello Michelle,

Sadly all these changes are affecting all my forms as it is indicated on the edit settings "(This setting applies to all form styles)". Is there any way to avoid this?

At the moment we're unable to assign a specific invoice template for customer in QuickBooks Online as this will change all sales forms.  We appreciate if you can send your product feedback. You can do that by going to Gear icon and select Feedback so it will be reviewed by our Product Developers. Most of the new features or product enhancement we release every month are based on the feedback we received from our customers.
