How do you fix a payrun that has been lodged with the ATO?

How to Correct a Payrun with an Adhoc Payrun

Often times a mistake may be found on an older payrun or one that has been lodged with the ATO but was missing important information. The solution is often referred to as an "adhoc payrun". This is used as a new pay event will be created passing missing data correctly to the ATO.

To create an adhoc payrun we begin by creating a new pay schedule and naming it "adhoc" the frequency should usually match the payrun that we wish to amend. We do this so it is easier to locate if review is required.

  1. Click Employees tab
  2. Click Payroll Settings
  3. Select Pay schedule from the 2nd column
  4. Click +Add
  5. Name it "Adhoc" or something similar
  6. Select the frequency based on the payrun you wish to amend
  7. Employees included should normally be None
  8. Select any other settings you wish.

We don't have to use the adhoc payrun schedule and it can be quicker to simply use the same period ending and paid date to "duplicate" the payrun we wish to amend, a warning will appear if duplicating a payrun.

On the adhoc payrun:

  1. Add impacted employee via Payrun actions > Add Employee
  2. Click on the employees name and click actions
  3. Choose the option you wish to amend
  4. Select the same category and enter the incorrect amount however add a "-" to the rate or unit (this will reverse the incorrect line on the employees year to date figures)
  5. Add any missing categories normally. (this will add the correct figures to the employees year to date earnings)
  6. Once complete only the adjusted details should be present and if you wish you can now finalise the payrun, create an pay event from it and lodge with the ATO to correct the year to date figures.

Note reversals of payments will not affect super so this may need to be manually adjusted as well via actions > Adjust super with a negative total.

It is also important to note if lodging an adhoc payruns pay event out of chronological order you should finish up with an update event after is have been lodged successfully (This will ensure no data mismatch with the ATO).

How do you fix a payrun that has been lodged with the ATO?

Not sure if this is the right thing to do, but I went into the pay run and edited it. Under the "Pay Run Actions" I first "unlocked" it. Then I edited the wrong hours I had put in and just lodged it again.

While we recommend using an ad hoc pay run to record changes made from previous pay runs, you can certainly unlock and edit an existing pay run if you choose. If the pay run is the most recent, you can also re-lodge it. However, we do not recommend lodging events out of chronological order and if the pay run fell some time in the past we would suggest lodging an Update Event instead to ensure the data held with the ATO is correct.

So I have incorrectly processed a public holiday as annual leave for staff and submitted to the ATO. Obviously I need to reverse this as it was not leave taken. Can I simply unlock the last pay run (where this occurred) and make the changes then resubmit?

Absolutely, you can unlock the last pay run and make the changes then refinalise it. 

 

You will however also need to do an update event to notify the ATO of your changes. This Create and lodge an update pay event article will show you how.

You can create and lodge an update event in QuickBooks Online if you needed to correct a pay run that's been lodged to the ATO. To correct the pay run, you can unlock and refinalise the pay run if there's no super payment processed on them. If there's super payments processed, you'll have to create an adhoc pay run for the corrections and then, lodge an update event after.

 

To unlock a pay run:

 

  1. Click on the Pay runs tab.
  2. Locate and click on the pay run, click on Pay Run Action.
  3. Click on Unlock.

 

To create and lodge an updated event:

 

  1. Select Employees from the left navigation.
  2. Select the Reports tab.
  3. Select Single Touch Payroll.
  4. Select Create update event.
  5. Select the appropriate Financial year and Pay schedule, then select Create.
