Account Summary for Tax Purposes

My school just upgraded from older QB program to QB online.  Older QB allowed us to run a transaction statement that included the school's EIN (tax ID number).  I went to Settings>Custom Form Styles but there is no field for Tax ID.  Any suggestions?

I can help you add the tax number of your school in QuickBooks Online (QBO).

 

To add the tax number, I'd suggest adding a custom field on the Invoice page. Then, you'll have to manually enter the tax number in the custom field every time you create an invoice.

 

Here's how:

  1. Go to the Gear icon.
  2. Under Your Company, select Custom form styles.
  3. Click the New style button, and then choose the Invoice.
  4. Select the Content tab.
  5. Click the Header part on the sample invoice.
  6. Go to the +Custom field at the bottom.
  7. Enter "Tax # of our School" as a custom name. Then, make sure you put a checkmark in the box.
  8. Click Done.

Thank you for your response.  I see how the tax ID can can be added to an invoice but I need to add it to the customer "statement" in QBO.  In the old version of QB, I ran a "transaction (or account ?) summary" that provided a list of child care charges and payments for each family.  This form was used for reporting child care expenses on their tax returns, which explains why it needs to include our tax ID number.

As of now, the option to add a tax ID field in your customer statement is currently not possible in QuickBooks Online (QBO).

 

As a way around, you can look for a third-party app that lets you customize your customer statement. You can go to the Apps menu in your QBO account and look for an app from there.

 

I can see having this feature is beneficial to your business and to our other users. Rest assured our Product Developers are always looking for ways in enhancing QuickBooks. This way, our users such as yourself can work with your business seamlessly.

I am having the same issue.  I need to be able to send year-end statements to families for childcare expenses.  Do you have suggestions for specific apps for this?

I definitely understand that you need a tax ID field for your year-end statements. Unfortunately, we're unable to recommend or suggest what third-party application to use. 

 

To speed up the searching process, you can enter a keyword, like "year-end statements" in the search bar from the Apps menu or from our QuickBooks App Center. You may also look for some reviews online to be guided in choosing the right app for your business.

 

Additionally, I've included an article that will help you personalize the appearance of sales forms: Customize invoices, estimates, and sales receipts. This way, your customers will easily recognize your brand.

We were using an older version of QB that had a report called Transaction Summary and it included the customer's charges and payments and the school’s information, including the tax ID number.   

 

Can you tell me if this report is available in the regular version of QB, just not in QB online?  It is extremely frustrating to upgrade the software and find that we are no longer able to run this basic report.   .

Hi Susan.

 

The option to add the Tax ID number (EIN) on your report or statements is currently unavailable for both QuickBooks Dekstop and QuickBooks Online versions. As a workaround, you may enter the Tax ID details under the customer's address.

 

Here's how:

 

  1. Go to the Customers windows, then locate your customer.
  2. Select Edit beside New transaction.
  3. Add the EIN under the Billing address section.
  4. Click Save.

 

Once done, the details will now be added to your statements/reports. I've added these screenshots for your visual references.

Adding the tax ID number to your transactions, forms, statements, or reports is still unavailable. I understand that having this feature would greatly help your business and other users. Please be assured our product development team is working nonstop to improve its functionality and visual appeal for all QuickBooks users. At this time, you can actively explore the workaround outlined in the previous responses by creating a custom field or adding the details to your customer profile.

 

Furthermore, you can consider submitting feedback directly to our product engineers so they can evaluate the possibility of incorporating this in future updates.

 

To start:

 

  1. Go to the Gear icon, then Feedback.
  2. Enter your comments or product suggestions.
  3. Tap Next to submit.

 

Once done, your valuable suggestion goes to our Product Development team to help improve your QBO experience. You can track feature requests through the QuickBooks Online Feature Requests website.

The one problem I see with your response is that this has been an "issue" for over 2 years.
