You can view all uploaded attachments and download per attachment in QuickBooks Online (QBO). Then, you can place them on one folder and save it on your hard drive.

Here's how:

  1. Click the Gear icon on the Toolbar.
  2. Under Lists, choose All Lists.
  3. Select Attachments
  4. Under the Action column, click the Download option.

This only give me the first 233 attachments from 6 years

Someone may have accidentally deleted those attachments, and that's why you can only see up to 6 years.

 

You can use the Audit log feature in QuickBooks Online to track activities made your account. It records the following in the audit log:

  • The date of any change to your books
  • The name of the user who made the change
  • The type of change or event
  • The name of any customer or supplier related to the change
  • Any original transaction date and amount

To access this feature:

  1. You need to sign in as an admin to access the audit log. Ask your master admin if you don’t see it.
  2. Go to Settings ⚙, then select Audit Log.
  3. Click Filter.
  4. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  5. Select Apply.

Is there a way to download all of the attachments and not have them link back to QuickBooks. We have ended our subscription and will lose the data in a year. If I print a list of all the attachments, it gives me links back to QuickBooks, will those work after our year has expired?

Let me walk you through the steps on how to download your attachments in your QuickBooks Online account.

 

If you cancel your QuickBooks Online subscription, your data will be available in read-only access for 1 year from the date of cancellation. We also recommend that you export or print your data before canceling your account. However, as long as you're within the read-only access period of your canceled account, you'll still be able to export your data.

 

Instead of downloading your attachments, you can print them to save outside QuickBooks as a workaround. Here's how:

 

  1. Go to the Gear icon.
  2. Under the List menu, select the All lists tab.
  3. In the Attachments window, click the Print icon above the Action column.
  4. Review the transactions, then hit the Print button.
