Hi, does anyone know where I can get a step by step process to migrate customer, invoice and item data from QuickBooks desktop to a new QuickBooks online account? I am not familiar with either version of QuickBooks.

Hello, Vanessa. I can help you migrate your data from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO).

 

When you move from QBDT to QBO, you transmit much of the data from your company file without having to re-enter it manually. However, we need to ensure that your QuickBooks Desktop is updated. This is to avoid errors when transforming the files. Here's how:

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Tap Get Updates to start the download.
  3. When the download finishes, restart QuickBooks.
  4. Accept the option to install the new release when prompted.

 

Please note that you can import a company file within 60 days of signing up to QuickBooks Online. 


In order to move your data into QuickBooks Online, you will first need to export your data using CSV Files from your current software (QBDT). For detailed instructions on how to do this, visit this link: Move your lists to QuickBooks Online

 

Once your lists are in Excel, the data needs to be formatted so that it imports correctly into QuickBooks. After you export and save your lists into the correct format in Excel, you’re ready to import them to QuickBooks Online.

 

Moreover,  if you're converting your company data from QuickBooks Desktop US to QuickBooks Online Global, please know that it is not possible. It's only available for UKUS, and Canada versions. Although, you can use a third-party app to help you convert your data to QBO South Africa.

 

When you switch from QuickBooks Desktop to QuickBooks Online, you may notice differences in how your books appear. You can visit this article for more information: Learn how features and data move from QuickBooks Desktop to QuickBooks Online.

You can use a migration tool. i.e TPExporter for Desktop and TPImporter for Online.

Another option, purchase a 3rd party conversion service.

Thank you for all the responses to my question. Especially the information about updating the desktop version before exporting the files. There is a 3rd party that imports the files into QuickBooks on line for new account in SA but they are not able to tell me how to extract the files from the Desktop, or which files to extract. I am also concerned about the change over time frame. While waiting for the files to be uploaded to QuickBooks online the company would have to stop invoicing. I have to factor that interim period into the migration as well.

We always advise our clients to split the conversion process to reduce downtime. During the first phase, you can continue to use QB Desktop. After the first phase is complete, you can migrate your additional data using the migration tool as I mentioned before or purchase an additional service to convert your data as the second phase. Your total downtime should be less than 1 week.
