When the company recommended to upload my data from QB Desktop uploaded the data they created a new Undeposited Funds account, rather than use the one automatically created by QBO (and renamed the default account to Undeposited Funds -1). QBO will not allow the default account to be edited/made inactive and I cannot merge the two accounts as I would have been able to do in Desktop. Reallocating the entries from the one account to the other would be a nightmare as there are over 1000 entries! Is there any way I can rectify this?
Hi Mark,
Let me help you with your undeposited funds account.
The UF account that comes with QBO is the default UF account in the online platform. So, what you'll want to do is merge the UF account from the QB Desktop data to the UF account account in QBO.
Basically when merging, you'll want to edit the UF from QB Desktop instead of editing the one from QBO.
Let me know how the above instructions work for you.
Hi Jess, thank you for the response but unfortunately that will not work for me. I stopped updating QB desktop from 1 March 2023 and there have been hundreds of transactions since then. They would obviously need to be reallocated manually. I would do that if I could upload the data from QBD preceding 1 March but I also do not see an option for exporting just the data from QBD to QB Online. Unfortunately, QB in South Africa does not have the option to export data directly from Desktop to Online, which is why QB required us to use a 3rd party.
The folk from MMC Convert, the company that did the data upload are looking into the issue but I am loathe to allow them to do anything further on my account - they made such a hash of the transfer that it has taken me weeks to rectify all the errors.
Hello there, Mark.
I see that my colleague's suggestion isn't going to work in your case. However, it's important that you understand that some of these default accounts can't be edited, merged, or deactivated in the chart of accounts. Here's an article you can see to learn more: Manage default and special accounts in your QuickBooks Online chart of accounts.
You can also look for other third-party applications that will only allow you to transfer those entries from QuickBooks Desktop to QuickBooks Online so you don't have to manually enter them.
I've also included this link for more information on QuickBooks Online's chart of accounts:: Learn about the chart of accounts in QuickBooks Online.
Let me know if you have other concerns about managing transactions. I'll be here to help.
