I can't seem to get my invoice to show my customers Vat Registration number. I am not vat registered myself and do not have a reg number of my own..

I can't seem to get my invoice to show my customers Vat Registration number. I am not vat registered myself and do not have a reg number of my own..

Hi there, thys.

 

For now, the customer's VAT details is mainly used for record keeping. it will not show up when creating invoices and other sales forms. 

 

As a workaround, you can use the custom field function. Then, put in the customer's VAT registration number when creating invoices. 

 

I'd be glad to share the details and steps with you. Here's how:

 

  1. Go to the Gear icon and select Custom Form Styles.
  2. Click New style in the upper-right hand corner and select Invoice. You can also click the Edit link if you have already made one.
  3. Proceed to the Content tab and click the invoice's header.
  4. Scroll-down a little bit and look for Custom fields, then click Manage custom fields.
  5. Click Add field.
  6. Type in the name of the field or put in "VAT Registration Number". 
  7. Check the box for All Sales form and turn on or select Print on form
  8. Click Save.

 

 

 

 

Once done, you just need to type in the customer's VAT registration number when creating their invoices.

I'm having the same issue and have followed your instructions but there is no CUSTOM FIELD option on the invoice header as mentioned in your point 4. Please provide further assistance. Thank you.

Thank you for getting in touch with us about the missing option. Let me step in and assist you in locating the custom fields within QuickBooks Online (QBO).

 

To access the Custom Fields and Manage custom fields options in QBO, you'll have to click on the invoice header and scroll down. Alternatively, you can use the Ctrl key along with the minus (-) key to zoom out and make the page smaller. If you have a mouse with a wheel, holding the Ctrl key and scrolling the wheel forward or backward will also work. This method can be applied to any page that appears too large or too small. Refer to the screenshots below for visual reference.

 

Once you have inputted the VAT Registration number within the Custom field window, you can now proceed to enter it within the Invoice page.

 

However, if the issue persists, I suggest performing some basic troubleshooting procedures to ensure you're not experiencing a browser-related problem. Start by logging in using an incognito page. Here are the shortcut keys to open it:

 

  • Chrome: Ctrl Shift N
  • Firefox: Ctrl Shift + P
  • Safari: Command Shift N

 

If it works, switch back to your regular browser. Then, clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

thank you for coming back to me. I've gone back in and am still not seeing Custom Fields. I'm using Safari, tried on Chrome too with no success.

Please take note that you can only add custom fields in QuickBooks Online (QBO) Plus and Essentials. If you're currently using QBO Simple Start, you may consider upgrading your subscription to add custom fields. 

 

Here's how to upgrade your subscription:

 

  1. Go to the Gear icon () and click on Account and Settings.
  2. Select the Billing & Subscription tab.
  3. In the QuickBooks Online section, select Upgrade your plan.
  4. Review the available plans and then select Choose Plan.
  5. Follow the onscreen steps to finish upgrading your plan.

From here, you can now add custom fields to sales forms and purchase orders in QuickBooks Online.
