Importing invoices error

Hi, I'm new to QuickBooks and trying to import invoices from another software to QBO using a csv file. I have mapped my fields but no matter what I do I get a "Terms Invalid" error. I thought it might be because there were too many invoices (120), so I deleted some rows from the csv file and got a QB error saying that "file exceeds 1000 row limit" yet that's not possible.

Not sure what I could possibly be doing wrong as the fields seem to be matching to me. Any help appreciated!

Importing invoices error

Let's perform some troubleshooting steps to import your invoices, HLM3.

We can import a maximum of 100 invoices at a time and a 1,000 row limit per spreadsheet. We can also import invoices with single or multiple line items or a large volume of customers and suppliers or products and services. Let's make sure your spreadsheet’s column headings match with QuickBooks fields. Here's how:

  1. Map the column headers with invoice fields in QuickBooks. Fields with an asterisk (*) are required.
  2. Tap Not applicable for any fields not in your spreadsheet. If a product or service isn’t added, QuickBooks populates with a generic item called "sales".
  3. Select the date format you used, like DD/MM/YYYY.
  4. Choose Exclusive or Inclusive as your tax option. To see this option, set up GST in QuickBooks.
  5. Press Next.

Then, try importing your invoices in Step 5: Import invoices section in the Import multiple invoices at once article. If you want to import custom form styles for your invoices, see the Import custom form styles for invoices or estimates article for more details.

If the same thing happens, try signing in to QuickBooks Online (QBO) using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

Visit our Importing and Exporting Data page for more insight about bringing in your data to QuickBooks.

Feel free to update us on the result of this troubleshooting in the comment below. I'd like to ensure this is resolved for you. You have a good one.

Importing invoices error

Thanks for the response.

I've tried using a private window and imported less than 100 invoices this time. The only change is fewer invalid terms. I have not set up taxes but we do not have that in our old invoices anyway so that should not be the problem.

Any other solutions?
