Storage Limit

Hi.

We've recently started using Quickbooks Online.

Is there a total limit to the attachments we can store in our account?

I understand there is a 20mb limit per transaction.

We find it convenient to be able to store the scanned copies of files here per transaction, we're just worried as to the limit of how much in total we can add.

Thanks for your help!

Hey there, @Koizumi008. Happy to provide some insight here.

I have some good news to share with you about the attachment feature in QuickBooks Online.

Since QuickBooks Online is a cloud base, there isn't a storage limit on attachments and other selected data. That said, it's unlimited storage for this feature.

Check out these articles to know what transactions can keep attachments and acceptable characters in QuickBooks:

Feel free to visit our QuickBooks Global Help Articles for your future reference. This page contains various topics on how to manage your business like banking, customers, vendors, taxes, and other matters.

Please don't hesitate to let me know if there's anything you need. I'm always up to talking about QuickBooks. Thanks for reaching out, and have a wonderful rest of your week, Koizumi008.

Can I clarify? - being a "cloudbased" storage cabinet, is not what makes it "unlimited".

Intuit's choice - to allow this feature to be unlimited is the reason it is unlimited.

ALSO, It Matters if:

(a) If your sharing and/or uploading a document via the "Shared Docs" feature - it is "Unlimited" Storage. -BUT-

(b) If your sharing and/or attaching a document via the "Client Request" feature - there is a "Document File" size limit of 30MB.

So, while you can have unlimited number of docs, each doc seems to be limted by "30MB" file size.

Do you have any information on how long attachments will be available in QBO for use as backup to financial records?

Hello there,

Thank you for reaching out to us here in the Community space. I can clarify and share more information about how the data storage works in QuickBooks Online.

Your attachments remain available as long as you have an active subscription. However, you'll have read-only access to your QuickBooks Online data for one year after you cancel your subscription.

Here are the data availability and export policies after cancelation:

  • If you cancel during a free trial or if your trial expires, your data is available for 90 days.
  • If your credit card is declined, you have 14 days to update your billing information. During this time you have full access to QuickBooks Online. After that, your account is suspended and you will have to re-subscribe to access your data.
  • If you were subscribed to QuickBooks Online, you can export data to Excel or to a desktop version of QuickBooks up to a year after you cancel.
  • If your were using a trial version, you must export within 90 days after you cancel.

When accessing an inactive account, you'll get a prompt to resubscribe as soon as you sign in to your QuickBooks Online company. I have a link here I want to share with you for the detailed steps: How to resubscribe to or reactivate QuickBooks Online.

Let us know if you still have more questions about the attachments in QuickBooks. We'll be sure to lend a hand. Take care, and have a great rest of the day.

I see your answer identifies a way to export data. Does that include attachments?
