How do you reconcile Stripe Invoices & Fees against Bank Transactions? Invoices, Fees & Bank Transactions automatically imported into QuickBooks

I imported my Sales Invoices (Stripe Transactions) & I imported the Fees associated with the Sales into QuickBooks via Dext Commerce.

The Bank Transactions are also automatically imported via Bank Connection.

When I go to reconcile the bank transactions, I can match the transaction to an invoice, but obviously there is a difference (the fees)... If I use the resolve button, I cannot match to the fees already brought into QuickBooks so what do I do?

Hello there, Killian. I have two options for you to consider for recording or matching your transactions in QuickBooks Online.

 

Yes, it will create duplicate fees. These fees won't match the imported transaction because it involves an outgoing payment that doesn't align with an invoice, which is incoming funds.

 

The first option is to create a receive payment and deposit the funds into the Undeposited Funds account. Doing this can help you link the invoice with the fee after excluding the bank transaction.

 

  1. Click + New and click Receive payment.
  2. Enter payment details and select the checkbox next to the invoice you want the payment to be applied.
  3. Choose Undeposited funds from Deposit to dropdown.
  4. Tap Save and close to record the transaction.
  5. Select + New and then Bank deposit
  6. You should see the payment you entered in the Select the payments included in this deposit section.
  7. Put a check to select the payment you want to deposit.
  8. Add the bank service fee as a negative amount under Add funds to this deposit.
  9. Choose the appropriate Expense account for tracking bank fees.
  10. Verify that the deposit amount is correct and click Save and close.

 

Alternatively, you can delete the fee transaction already recorded in QuickBooks and match the bank transaction to the invoice using the Resolve difference feature. Here's how:

 

  1. Click the Settings/Gear icon and then select Chart of accounts.
  2. Find the bank in question and then click Account history.
  3. Find the transaction and click it, then tap Delete and hit Yes to confirm.
  4. From the Transactions menu, go to Bank transactions.
  5. Select an entry in the For review tab and click the Match radio button.
  6. Choose the Invoice box and then hit the Resolve Difference switch.
  7. Select the category,  enter the fee amount, and hit Match.

 

In addition, I recommend consulting your accountant for a thorough review of your situation and exploring other potential solutions.

Based on what you've said, it seems that your fees have already been brought or recorded into QBO, and you're wondering how to automatically reconcile the difference when trying to match the invoice with the bank transactions. However, it's not possible to automatically match the discrepancy between the fees on the invoices from the matched bank transactions to the fees that are already recorded in QBO.

 

I recommend not matching your bank transactions to the invoice as it may cause a conflict in QBO. Instead, I suggest excluding your bank transaction and manually marking the invoice as paid by recording a received payment for you to properly reconcile it.

 

Moreover, I also recommend reaching out to your accountant to further assess the actual situation and explore possible alternative solutions for the bank transactions and the invoice and to see if there are other ways to work around it.

You can use a 3rd party connector to reconcile Stripe transactions into QBO.

it seems stupid that you  can import these fees as an expense but then can't match them along with an invoice to the bank transaction....

 

if i was to match the invoice and then use the reconcile button would that create another (a copy so to speak) of the transaction fee already imported?...

it will be tedious, but i think deleting the fee transactions that have been brought in, is the best route, then reconcile the bank transactions against the imported invoices, and resolve by adding in the fees again... at least then my bank transactions can be reconciled and i will know everything is correct...
