How would i be able to keep the invoicing module separate from the sales receipt module for the sequential numbering? Right now, if i input a sales receipt #, the next sales receipt # available would prepopulate into my next invoice #. We have a separate numbering system for sales receipt and invoicing so would like to know how i can get these to prepopulate with the correct numbering sequence. I am using Quickbooks online
Thanks.
I appreciate your interest regarding how QuickBooks number your sales transactions, @Emily2020,
Being able to assign a different numbering sequence or series for invoices which is different from sales receipts is great idea to add in our program. Right now, all sales entries share the same module of numbering (ascending order).
As a workaround, you can enable the Custom Transaction Numbers in QBO, so you can manually enter the number you like for each sale. Please bear in mind that this will reset the sequence of the entries you will add in the future. Here's how to do that:
When you create an invoice or sales receipt, update the information on the Invoice no or Sales Receipt no field manually.
To learn more about this, check out this article: How to change the invoice number on sales forms?
Please know the your ideas are important to us, and we consider every suggestion to make our program handy and easy to use. If you have any questions or clarifications, feel free to come back or get in touch with me again. I'll be more than happy to help.
I have the same problem. When I was using the desktop version the sales receipts and invoices had their independent number sequence. Now with QBO I have to manually change the numbers when I move from one form to the other. What a headache!
Hi, I'm a new user and I find not having the invoice numbers and sales receipt numbers not differentiated an issue. When will this be corrected?
Welcome to the Community, @JaxAl. I see how essential the ability to separate invoices and sales receipt numbering is for you.
Currently, this option is unavailable in QuickBooks Online. As a workaround, you can manually change the number for each sale. You'll want to follow the steps shared above.
Also, I appreciate your ideas about adding this option and love to hear more of your insights about this. I recommend sending feedback to our product developers so they can further review which parts of the program need improvements and consider adding them to future updates. Follow the steps below for the process:

I too have this issue, we do performa invoicing, and some sales receipts, but would like different numbering for a performa invoices, vs a normal invoice, vs a sales receipt!
This seems far more useful than changing the column name for clients to "sales" and adding other duplicate tabs for getting to the same place! which is what almost seems to happen every quarter with no real functional improvements to the platform!
Please listen to your users, and stop paying UI developers to re-create the same silly things over and over with different names or updated styles and actually add in some real, yet very simple, functionality like different numbering for different form styles!
Has this been further updated by QBO? We have it customized to enter our own numbers on the Sales Receipt, but would be nice to initially enter our number and QBO would automatically start adding from the start point. We are not a brand new business and QBO promotes itself as an "easy" transition from desktop to online. We want to continue using our existing number sequences for invoices, purchase orders, and sales receipts.
Hello there, @samadio. I know how beneficial this feature is to organize your sales transactions in QuickBooks Online (QBO).
Currently, the option to have a separate numbering system for invoices and sales receipts is unavailable. As a workaround, you can manually edit the numbers when creating a transaction.
While we don't have the exact time frame when this will be available, I recommend sending feedback to our product developers.
This way, they can further review this part of the program and consider adding it to future updates. Here's how:
