Welcome to the Community, @ckoutsouvelis-sy.

To ensure that I'm on the page, may I know which specific report you're referring to? Any additional information will help me provide the best resolution.

This will depend on the type of report and the source of the transaction. If you run a report for general transactions (for the customer, vendor, and employee) then, their names will show.

However, if you pull up General Ledger and Transaction Detail report, only their type of transactions will be displayed instead.

Just in case, I'll add these articles for future reference:

But why not show names in transaction reports? Please fix this problem asap. Thanks.

My customer names are not showing up in my transaction report, but when I go into the journal I see the name.

The other problem with reports is that the memo/detail is blank even if i fill the description in the transaction.

Thanks for joining this conversation, JYcebu. I'm here to help you figure out why it's blank.

I can help you generate a transaction report that shows the description of the transaction. Let's run the Transaction Detail by Account report and filter it to include the Memo/Description column. That way, it'll show the data you need.

Let me show you how:

  1. Go to Reports.
  2. Search for the Transaction Detail by Account report in the search box.
  3. Click on the Customize button.
  4. Select the Filter drop-down and select Memo.
  5. Click on the Run report button.

I've added a screenshot for your visual reference:

By following the steps, you'll be able to get the description you've entered on the sales forms.

For additional resources, here's an article about: Customising your report in QuickBooks Online reports in QuickBooks Online.

You can also memorise your report to save its current customization settings.

That should get you going. If you have any additional questions about reports, please comment below.

Thanks for the memo/detail procedure. Do you have the procedure to show the names in journal entry? Thanks.

Hi. Thanks Glinette.

Your example is from an invoice. Can you show us the steps for showing the names and description in a journal entry, which was the original question for this thread. Thanks.

Hi there, @JYcebu.

Thank you for posting here in the Community. Allow me to chime in and share some clarification about the reports in QuickBooks.

When you create journal entries, you choose accounts to debit and credit, as well as different names and descriptions per line. Since Transaction reports can only show one information per column, the system is unable to provide the information.

Currently, an option or ability to show the names and descriptions is unavailable. We always improve the features in the product, and this preference might be available in the future. As we assess this, you can check our QuickBooks Blog for product updates.

Additionally, you can use the following article to learn how to personalise reports in QuickBooks: Customise reports in QuickBooks Online.

Please know that I'm just a post away if you have any other questions on running reports. Take care.

My customer names are not showing up in my transaction report, but when I go into the journal I see the name.

Still no fix on this.

The name only shows up if it was a single transaction deposit, but if there were 2 or more transactions (lines) in one deposit the names don't show up on the report.

Hi, JoeG2. I appreciate you following up io his thread.

I know how important it is to have the names shown on the report. However, the option to do is unavailable in QuickBooks Online.

I'd suggest submitting feedback within your QuickBooks Online account. This way, it goes to our product developers to help improve your experience while using the program. I'll guide you on how:

1. Go to the Gear icon at the upper right and select Feedback under Profile.

2. Enter your comments or product suggestions. You can also attach a screenshot or file to combine them all.

3. Click Next

4. You'll be provided a list of suggested help articles related to your comments. You can read through them or choose Skip and send message.

The screenshot below shows you the second to third steps. To learn more about the process above, see this article: How Do I Submit Feedback?.

For now, as a way around, I'd suggest exporting the report into Excel and adding the names from there. Also, I'd recommend customising the report to get the specific details you need. You can also memorise it to save its current customization settings. It serves as your record and helps you quickly access it for future use.

Hmmm was your question answered? Were you able to figure out how to get the name there?

My customer names are not showing up in my transaction report, but when I go into the journal I see the name.

Are there any updates on this for QBO?

QBD shows this information and it's very inconvenient that QBO does not, especially since Intuit is phasing out QBD.

I sincerely hope the suggestion to export to Excel and manually enter this information was not serious. That is not a reasonable solution when you have to do it every month.

Thanks for your inquiry about the Transaction Detail by Account report, Sheila. Let me share some details about this.

Transaction reports in QuickBooks Online (QBO) don't show customer names for journal entries due to the nature and purpose of journal entries. Here's an explanation:

  • Journal entries record complex or non-standard transactions, such as adjustments, corrections, or other accounting entries that aren't associated with specific customers or vendors and can't be entered through regular forms like invoices or bills.
  • Journal entries are designed to affect account balances directly rather than being tied to specific customers or vendors. They focus on debits and credits to various accounts.
  • In double-entry bookkeeping, journal entries are meant to maintain the balance of accounts, not to track customer-specific transactions.

We want to assure you that we're actively considering user feedback like yours to shape the future development of our platform. It helps us improve the product and tailor it to your needs.

Here's how:

  1. Sign in to your company.
  2. Go to the Gear icon.
  3. Choose Feedback.
  4. Enter your comments in the description box.
  5. Click Next to submit your inputs.

To associate a journal entry with a specific customer, customize the Description or Memo field to include relevant information, such as the customer name or account number. It helps identify and accurately track the entry while maintaining comprehensive records of customer-related transactions.

Additionally, you can use the following article to learn how to personalise reports in QuickBooks: Customise reports.

My customer names are not showing up in my transaction report, but when I go into the journal I see the name.

Journal entries most certainly can be associated with specific customers or vendors.

For example in the case of prepaid expenses, when the expenses are recognized, it is helpful if not essential to know the name of the vendor that the charges relate to when they are recorded (via journal entry) to the P&L statement.

This response is ill-informed and most unhelpful.

As you can see from this thread, what I asked about has been requested since 2020.

Responses like this are the reason so many actual accounting and finance teams leave QBO.
