Purchase order and statement templates

Apologies for all the questions on forms but it represents our business and hence we are very fussy! :-)

Statements

It appears as though we cannot create our own and have to use the QB template. Is there any way we can change shading in the heading from blue to another color

Purchase orders

Can we change the shading from blue to another color

Can we remove the approved by and date signature block

And  on both forms.. can we change the position of our company logo from right to left?

and select different logos

Thank you!. Sorry once again for inundating you with messages. Appreciate all the support

Purchase order and statement templates

Hello Deano2,

We always welcome ideas from customers that can enhance our software. Customizing the Statement and Purchase Orders is one of the most requested feature. These two forms can't be edited for now. However, rest assured that our Product Development Team is working diligently to have this added in our future updates.

You can temporarily customize the forms in Excel and paste the information from QuickBooks Online. This way, you're able to achieve the format you'd like.

Please keep more ideas coming. If you have any questions, post them here.

Thank you for your suggestion regarding cutting and pasting. However I trust that this is something that we can customize in the future.

I have however - seen Quickbook Purchase Templates where the user had the ability to change shading and color from Blue to Red.

Is this something that can be achievable.

Thank you

Purchase order and statement templates

You might've seen what's on the Custom Form Styles page, Deano2.

On this page, the available templates that can be modified are Invoices, Quotes, and Sales receipts.

The shading of your forms will depend on your Standard template. This means, whatever shading you've used will affect on all the forms. That includes your Purchase Order.

Additionally, yes you can use a different logo. You can only move it either to the right or to the center.

On the other hand, the things that you can do in your PO is to add a custom fields and customize the transaction numbers. Also, you can enter a default message on the forms. Here's how to do it:

  1. Click the Gear icon then select Account and Settings.
  2. Go to the Expenses tab.
  3. Click the pencil (edit) icon on the Purchase orders row.
  4. Select the boxes for your fields and custom transaction numbers.
  5. Enter your message on the Default message on purchase orders box.
  6. Click Save.
  7. Then Done.

You can always check how to use a purchase order to know more.

If you have other concerns with purchase order, I'm here to help you out.

Purchase order and statement templates

I've checked my resources, and this hasn't been updated yet, @tcouch. I can see the importance of customising the purchase order and statement templates in QuickBooks Online (QBO). But I've got two alternative methods to take care of this issue.

First, you'll have a few options to customise your statements in the program. Let's go to the Sales tab in the settings to complete this task. I'll guide you how.

  1. Go to the Settings (Gear) icon at the upper right.
  2. Select Account and Settings under Your Company.
  3. Go to the Sales tab.
  4. Click Statements.
  5. Choose either List each transaction as a single line or List each transaction including all detail lines.
  6. Check the Show ageing table at bottom of statement box.
  7. Hit Save.
  8. Select Done

The screenshot below shows you the last six steps. For the detailed instructions, see the Customise your statements section through this article: Creating and Viewing Customer Statements

CustomiseStatements.PNG

For the purchase orders (POs), I'd still suggest adding custom fields and transaction numbers to the forms. You can also enter their default message. Please follow the steps provided by Adrian_A above.

Also, you can run any purchase order reports, such as Purchases by Supplier Detail. It helps you review your POs in the program. For more information, see the How do I run a purchase order report? section through this article: PO Overview.

Second, I recommend looking for a third-party app that can integrate with QBO. This way, you'll have an option to change the colors of the two forms and customise them the way you wanted to. Just go to the Apps menu or through the QuickBooks App Centre.

Here are the steps for the app centre:

  1. Go to this link: https://quickbooks.intuit.com/app/apps/home/.
  2. Select AU as the region.
  3. Enter Custom Form in the Search box. You can also navigate the apps from the Categories section.
  4. Choose the right app for your business.
  5. Click Learn more/Get app now
  6. Select the QBO version you're using.
  7. Hit Connect

In the meantime, you can visit this website: QBO AU Resource Centre. Then, scroll down the page. In the Help Your Business Thrive section, enter your First Name, Email, and click Subscribe. That way, you'll get the latest tips, advice, and resources straight to your inbox to help your business succeed.

Please know that you count me in if there's anything else you need. Keep safe always, @tcouch

Purchase order and statement templates

Being able to customize the Purchase order as you can estimates & invoices is essential.  At least change the header asap from Activity to SKU or Model!

The ability to create and process quotations, purchase orders, and invoices are core functions of accounting software.  Quickbooks Online has had the ability to customize forms for years--but to date, purchase orders cannot be customized.

The ability to customize purchase orders needs to become a priority of the Quickbooks team.

This is BS when you print the Purchase Order, it does not show the SKU Codes which are important for my PO.  How can I send a PO without SKU codes to my suppliers.  Please give option to print PO with SKU Codes.

How can we get the SKU column on the purchase order.  Manufactures use the SKU....not description.

Hello there, @Michelle C.

Adding the SKU column on a purchase order is done by a few steps. To get started, let's turn on the SKU feature from the Products and services section.

Here's how:

  1. Click the Gear icon, then click Account and Settings.
  2. Select the Sales tab and go to the Products and Services section.
  3. Mark the Show SKU column box.
  4. Click Save and hit Done.

Once done, you can enable the SKU option on the Standard template. I'll guide you how.

  1. Click the Gear icon, then select Custom Form Styles.
  2. Locate the Standard or Master template.
  3. Click Edit.
  4. Go to the Content tab and click the middle part of the template.
  5. Select the SKU option.
  6. Hit Done.
  7. This will show the SKU column on your purchase order.

I've provided a screenshot below.

Hi there, TCDK.

I'd like to share ideas regarding SKU in QuickBooks Online. For now, asking about the SKU showing on the printed purchase order is unavailable in QuickBooks Online.

I would like you to know that your voice matters to us. Most of our product enhancements are coming from our customer's feedback. This time will take this as a product suggestion.

I encourage you to visit our Blog site to be updated with the latest QuickBooks news and improvements of the product.

You can always come back here if you have any other concerns. Take care!

Very poor, considering moving back to Xero. Such a basic and ESSENTIAL request when ordering stock. Its a joke how this thread has been going on for over a year. How can you say that consumer voice matters when this still hasn't been acted upon?

Hi penpools,

Our product team involved with integrating customer feedback in QuickBooks want you to know this feature is being looked at.

We encourage you to keep an eye out on our Blog site to stay updated with new feature rollouts in the near future.

The more feedback we get regarding a feature, the more likely it is to be implemented so I would also encourage submitting your own feedback via the Settings icon in your file.

Have a great day.

Hi Rebecca,

Can we edit customer Statements yet?   If not yet can you please advise on when this will be happening.  It looks like this has been an issue for quite some time now.  Plenty long enough to be addressed.

It could do with some structural editing and also "Enclosed" is a very outdated term.

The purchase order screen captures the quantity ordered & unit price, but only the extended price ie no unit qty or unit price, are coming through on the printed PO.  How do I get the detail to come through on the printed PO for my Supplier??

Thanks for joining this thread,@ @cmm5.

Local internet cache files may be the reason for this unexpected behavior. To isolate this, let’s perform some basic troubleshooting steps to make sure the issue isn’t browser-related.

Let’s start logging in to QuickBooks using a private window. Here’s how:

•  Command + Shift + N (Safari)

•  Ctrl+ Shift + N (Google Chrome)

•  Ctrl + Shift + P (Mozilla Firefox)

Once done, try to print the purchase order again. If it works, you need to clear your browser’s cache. Here’s an article to help you with the process: How do I clear my browser cache and temporary Internet files? Feel free to use other supported browsers if necessary.

Also, let's make sure that these options are selected in the Master's template settings. Let me show you how:

  1. Click the Gear icon at the top menu bar and choose Custom Form Styles.
  2. Click the Gear icon at the top menu bar and choose Custom Form Styles.
  3. Go to the Content tab and click the middle part of the template.
  4. Select the Quantity and Rate.
  5. Hit Done.

Once done, you'll be able to print your PO with Quantity and Rate on it.

To learn more about customizing sales forms in QuickBooks, check the resource below: Customize your invoices, estimates, and sales receipts in QuickBooks Online.

In case you want to run any purchase order reports, such as Purchases by Supplier Detail. This helps you review your POs in the program. For more information, see the How do I run a purchase order report? section through this article: PO Overview.

If there's anything else you need, just leave a reply and I'll get back to you. Thanks for dropping by.

I contacted support yesterday and shared the screen with them and we cleared the cache, but it didn't make any difference. The support person was to get back to me with a fix later, but she emailed me on how to run PO reports - I need to be able to send the POs to our vendors with the qty & unit prices on them.  So not sure what to do...

How can this possibly not be addressed yet ?  More than 2 years later and still no way to customize Purchase Order forms?  This is crazy.  Can you please add this to URGENT PRIORITY and provide an ETA for when it will be ready?

Hi Intuit QB

You have been good in the past 7 years with improvements to the system and I'm sure we all appreciate how improved the system now is.    There are, however, a few things that keep getting missed.  In this tread its purchase orders and statement customisation .........

Yes we know we can look on the blog but that doesn't give us the answer when there isn't anything on there.

I don't feel even the slightest enthusiasm to do search your blog as I have tried to customise statements just now in May 2022 and still can't do it.

You have said so many people are requesting this and that was back in 2019.  Intuit you are slipping on this.  Can we please have this done.
