I'll share details on how long you can access your company data in QuickBooks Online (QBO) once you close your account, @BlairH.

 

Once you've canceled your QBO account, you'll retain read-only access to your data for one year from the cancellation date. Currently, we're unable to extend this access period to five years.

As long as you're within the one-year period, you'll still be able to export your QBO data by following these steps:

 

  1. Go to the Gear icon and select Export data.
  2. Click the Reports tab and set the date period.
  3. You can add or remove items by turning the switch on or off in the Reports and Lists tab.
  4. Click Export to Excel.

I don't have excel to export it too. Under ATO rules I need to keep a record for 5 years I wish to download to my computer.

I have an alternative method for exporting your data in QuickBooks Online (QBO) during the one-year read-only access period, @BlairH.

 

Since you don't have Excel to access your exported data, I suggest running reports directly in QBO and exporting them to PDF.

 

To do that:

 

  1. Go to Reports.
  2. Search for the specific report you need.
  3. Customise the report as needed.
  4. Click the export icon dropdown, then Export to PDF.
  5. Select Save as PDF.

Another option, purchase a 3rd party service to convert your data to a free cloud based accounting app to preserve it.
