I can help you edit the subject line of your email.

You'll need to manually edit it every time you'll send an invoice or an estimate. After clicking on Save and Send when you're about to send the email, you can edit the subject to edit the invoice number and add your customer's name.

Currently, the automated way is currently not available in QuickBooks Online. 

We appreciate if you can send us feedback by clicking on the Gear icon and choose Feedback. This way we'll be aware of the things that we need to add and develop the product.

What about for the 2018 Desktop version? We are wanting to add the customer name as well to the subject line. When I try to attempt this in the preferences, I am prompted that "Stock template can't be modified"

Hello @BB Hardware,

 

The error message prompt happens when you edit the default template in sending your customer's statements. Instead, let's manually create a new template so you can add their name on the SUBJECT field.

  1. Go to Edit.
  2. Select Preferences.
  3. Click Send Forms.
  4. Go to the Company Preferences tab.
  5. Under Email Templates, select Statements.
  6. Click Add template.
  7. Enter your customer's name in the SUBJECT field.
  8. Select Save.
  9. Click OK.

When does Intuit expect this feature to be automated? It doesn't seem efficient for us to manually enter the customer's company name on each transaction.

As of the moment, there isn't an integrated way to automatically fill in your customer's company name as the subject line when sending your sales forms to them. And we're unable to provide the turn around time as to when it'll be automated in the system.

I agree with you "kpersaud" this is exactly what I would like to do as well

 

[DisplayName] and [CompanyName] are already available in the email greeting as automated field entries - but they would be a much more useful options to add as part of the subject line after [Invoice No.].

This is also my gripe. Why isn't there a [Customer Name] code we can use? Invoice Number is enabled. Why can't a Customer Name be enabled too?

Yes!  Seems like the functionality is already there. They just have to enable it for the subject line.

I am trying to edit our company's email template and am not able to do it. I already created our custom template (following the steps you detailed), but it's not allowing me edit the subject line. 

When I click on the subject line and then on Insert Field, the field I choose gets added to the body of the text - not to the subject, as I'd like it to.

How can I get customize the subject line? 

Also, the fields offered in the Insert Field drop down menu are quite limited. There's no option to add just the last name of the client.

Please advise.

You can edit the Subject line of your company's email template, 123134. 

 

Please know that the choices in the Insert field dropdown button will not display in the Subject line but in the body of the text. Also, the option to add the client's last name is unavailable. 

 

The instructions for changing the subject line above are accurate. Just make sure that the newly added template is set as the default to see the modifications when sending emails. If needed, you can also make manual edits before sending them.

 

You'll want to personalize the data of your sales forms. Refer to this article: Use and customize form templates.

So is there no way to have the client's name show up in the subject line automatically when sending an invoice (the same way the invoice number shows up in the subject line)?

To start with, you can open your created custom template and add the client's name in the subject line field. Then, make sure not to remove the word Invoice from the field to save the changes.

 

Here's how:

 

  1. Click the Gear icon and choose Custom form styles.
  2. Locate the specific template and click the Edit link.
  3. Choose the Emails button. Then, go to the Subject box and enter the client's name.
  4. Click Done.

 

On the other hand, you also have the option to perform the process in the Messages section. You can follow the steps below.

 

  1. Click the Gear icon and select Account and settings.
  2. Choose the Sales tab.
  3. Go to the Messages section and click the pencil icon. Then, enter the client's name in the Email subject line field.
  4. Click Save and Done.

 

 

Furthermore, please note that the updated info is automatically applied to all invoices. In this case, you need to manually edit the template and modify the name whenever you need to send the transaction to another person.

Allow me to join the thread and provide additional information regarding the email Subject line for sales forms in QuickBooks Online (QBO).

 

The Subject line that you set on your template will be applied to all the sales forms you use. However, if you wish to have a different subject line for each transaction for your customer, you can easily modify the subject line before sending the email.
