How to update total time cost of staff after updating hourly cost rate? the approved time was imported from Tsheets.

Hello, jwardhana.

 

I'm more than happy to show you how you can update the total time cost of your staff. 

 

You can pull up the weekly timesheet data to update the total time cost of your staff. Doing this won't change the hours, but just the billable per hour cost itself. Here's how:

 

  1. Click the + New button, then choose Weekly timesheet.
  2. Select the staff's profile under the first drop-down menu. 
  3. Enter the date range on the second one. 
  4. In the Billable/hr box, enter the cost per hour. 
  5. Once done, click Save and close

Note that if your service items have a cost, QuickBooks Online will always follow that rate. In this case, you'll want to edit the item's sales price rate.

When you're ready, you can start invoicing your customers or use the data for your payroll provider. If you do invoice your customer, here's how you can add the time:

 

  1. Go to the + New button, then choose Invoice
  2. Select the customer's profile under the Customer drop-down menu.
  3. The unbilled time will show up on the right side.
  4. Simply click on Add to apply the time on their invoice.
  5. Add other important invoice details, then click Save and close

Thank you for your message. Just to let you know that my hours are imported from Tsheets. Therefore do I need to unapprove the hours in Tsheets and import it back into QBO?

Hi jwardhana!

You can update your staff's rates on the Weekly Timesheet without unapproving the imported time entries from TSheets. Then, you can update their rates on their profiles for future transactions.

Hi Jess,

 

I can see the time in the weekly timesheet section, however, the hourly rate for the staff is not updated. I am trying to edit a past time sheet dating back to November 2019. I tried reimporting the approved hours from Tsheets, and partial of the hours is updated with the correct hourly rate, while others are still based on the old hourly rate.

Thanks for keeping us posted, jwardhana.

 

It's possibles that you entered an hourly billable rate within QuickBooks though you've updated them in TSheets. We can review that and remove the billing rate so every time you import the weekly timesheets the hours are calculated based on the new rate. 

 

Here's how:

  1. Log in to QuickBooks Online. 
  2. Click Employees from the menu.
  3. Look for the employee name and click Edit.
  4. In the Employee Information screen, you can remove the Billable rate (/hr).
  5. Click Save

Then, try to import the weekly timesheets again from TSheets.

 

f you get the same thing, a browser-related issue might have caused the unexpected behavior. We can verify that by logging into a private browser. From there, import the weekly timesheets. If the hourly rates are correct as expected, you can go back to the main browser to clear the cache. You can also use other browsers to isolate these kinds of issues.
