Advanced Search help

I need to perform a search using the following:

 

specific vendor

specific term

 

How can I do this in quickbooks online?  I can't see any way to do this using the advanced search option.

I got another way where you can search for a specific vendor and terms in your QuickBooks Online (QBO) account.

 

You can run the Transaction List by Vendor report and customise it to your desired information. Let me show you how.

 

  1. Go to the Reports menu.
  2. Type in and enter Transaction List by Vendor in the search field.
  3. Select the Customize button.
  4. Click the Rows/Columns section and select the Change columns link.
  5. Select Vendors and Terms box.
  6. Hover to the Filter section and select Vendors and Terms.
  7. From the Vendors and Terms drop-down arrow, select your specified vendor and terms. 1.PNG
  8. Then click Run report.

Thank you for your response.  

Let me clear up something, when I say terms I mean like a keyword.  Sorry for that confusion.  Basically, I'd like to search or run a report that will tell me if I used a word in the Description field of the invoice.

You can filter your search when using the Advanced Search feature for a specific vendor or description. To do this, here's how:

  1. Go to the Search icon at the top.
  2. Click the Advanced Search link.
  3. Select the transaction you want to show, like the Invoices.
  4. In the lower box field, choose Line Description, then Contains and type in the specific term you want to search.
  5. Click Search

From there, it'll show all the invoices with a specific description.

Does this work in the desktop verison. I don't see the option to do #4 

  1. In the lower box field, choose Line Description, then Contains and type in the specific term you want to search.

Let me guide you through the process of using the search feature in QuickBooks Desktop (QBDT), Accounting Math 24. 

 

The solutions shared by my peers only apply to the online version. For desktop users, you can easily find what you're looking for by performing a search across all of QuickBooks and your company file:

 

  • Forms/transactions (invoices, estimates, and so on)
  • People (customers, vendors, employees, and other names)
  • List entries (items, sales tax items, and so on)
  • Amounts and dates
  • Menu commands (QuickBooks opens the menu and highlights the command for you)
  • Specific text within notes, descriptions, memos, and transactions

 

To perform a search:

 

  1. If you use the left icon bar, tap the Search Company or Help and enter a term or keyword in the field box.
  2. In the drop-down menu, choose to find either in your company file or Help.
  3. Click the magnifying glass icon.
  4. QuickBooks displays the results of your search and categorizes them.
  5. You can click the category that you want to view. 
  6. Move your pointer over a search result to see the actions you can perform. If you don't see the results, you might need to update your company's search information.
  7. (Optional) Use Amount and Date Range to further refine your search.

 

Also, you can look for particular items or descriptions within many kinds of QuickBooks transactions. Follow these steps to accomplish this task:

 

  1. Open the transaction you're working on.
  2. At the top of the form, tap the Search tab.
  3. Enter a keyword or term and press Search.
  4. QuickBooks searches the Item and Description fields and highlights the row with the first result.

 

You can also go to the Edit menu at the top and choose Search F3. Then, key in a term or word in the field box.

Here's how:

 

  1. In your company file, head to the Help menu at the top bar and select QuickBooks Desktop Help F1.
  2. This action will open the Have a Question? window.
  3. Go to the Help tab and type a keyword in the search field. For example, Advanced search.

 

This will provide a list of articles based on the information entered in the field box. From there, click the article to view the complete details.f1.png
