I need to make a backup of a company file, but I need to have the accounts without balance, is there a way to do it?

For US version, you can use the Condense Data utility. For other country versions, you can purchase a 3rd party service to do so.

It’s great that you’re taking proactive steps to ensure your data is safe, Soportegary. We can achieve this by following a few steps to clear out account balances while maintaining the integrity of your backup.

 

Beforehand, may I know if you're using the QuickBooks Desktop (QBDT) US version? We currently don’t offer QBDT International. Any information will help us provide the correct answer.

 

If so, create a backup of your company file as it currently stands. It ensures you have a copy of your original data. Here's how:

 

  1. In your QBDT company, go to the File menu and select Switch to Single-user Mode.
  2. Go back to the File menu and hover over Back up Company.
  3. Select Create Local Backup.
  4. Click Local Backup and then Next.
  5. Tap Browse and select where you want to save your backup company file.
  6. Once done, select OK.
  7. Hit Save it Now and Next.

 

After that, open the account, then clear or adjust transactions to zero the balance, either by creating journal entries or using the Reconcile feature to correct discrepancies.

 

Once done, create a new backup of the file with zero balance.
