Hi - is it possible to edit a custom invoice once you have finalised it? We have been using our own template for around 18months now and we need to add a piece of info.

Yes, it is possible! All you need to do is to go to the Custom Form Styles page and update the invoice template. Here's how:

 

  1. In QuickBooks Online (QBO), go to the Gear icon at the top right to get to the Custom Form Styles.
  2. Click Edit on the invoice template you're using, then enter the necessary changes.
  3. Hit Done to save.

This is where I was, but I can only edit the templates supplied by Quickbooks. 

I am using a custom template that we have imported and personalised. The edit function doesn't seem to be available to templates that are imported. I only have PreviewPDF available.

Thanks for adding more details to your concern. 

 

What you've figured out is correct that there's no option to customize the imported templates in QuickBooks. The system only shows the Edit option for the templates that only created within your book. That's why we only have the Preview PDF option under the Action for the download templates.

 

Let's see this sample screenshot:

If you want to modify or change it into something new, we can go back to the file where you saved it on your computer. If it’s still there, we can open it and edit. Then import it back to QuickBooks. Once we download a template, we’re unable to alter or customize it.
