How do I create a invoice templates with different EFT Info?

Hi, I have clients based outside of my country. Our country rules prevent direct transfer so I use a payment portal. On the invoice rather than my bank info (in EFT section) I change it to the payment portal option. I tried setting up two invoice templates. One for my Bank and the other for my pay portal.   However, whenever I change the EFT info on one, it changes the info on the other. 

 

Is there a step I am missing, or some work around?

Let me ease your confusion, Triniant.

 

If you'll be entering different information or details, you'll have to create an invoice template for each and import it in QuickBooks Online.

 

Also, once you make changes to one template, it will be replicated by the other ones. It's not a glitch, though. It's how the program works.

I've got just the steps you need in your invoice payment method, @Triniant.

 

I appreciate you for providing detailed concerns and for creating two invoice templates in QuickBooks Online (QBO). I'm here to ensure that you can use two invoice templates with different payment methods in your invoices. 

 

You're right. Once you customize an invoice, the changes you've made will apply to the other invoice templates. The closest workaround that I can provide you right now, so you can achieve your goal is to design your own template in MS Word and import it in QBO. This way, you'll be able to import and keep different templates with various payment methods. 

 

Here's how to do it:

 

  1. Download the entire QuickBooks Online EZ Map Fields Catalogue for your guide in creating templates. 
  2. Save your template in your computer. 
  3. Go to the Gear icon, then choose Custom Form Styles
  4. Select Import style in the New style drop-down. If you didn't see the option, go to Settings ⚙, then QuickBooks Labs, and turn on Import Styles.
  5. Pick a form type and upload your file in the field. 
  6. Click Next and match your fields with QuickBooks fields. 
  7. Tap Next, then select Save and name your style.

Once done, you can now use the imported templates in creating an invoice. Make sure to use the correct template so the information is accurate. See the sample screenshot below for your reference.

 

Additionally, you can always access any customer reports to track all the data you've entered into the system. Then customise it to show specific information.

To be a bit clearer, having followed those steps, when I customize the EFT field it changes the banking info on all templates.  I am asking if there is a way to have different invoicing templates, each with its own banking info.

Thanks for getting back and keeping us updated when following the steps provided by my colleague above. 

 

In QuickBooks Online (QBO), once you create an invoice, it will follow the template you've selected as default. Thus, the information showing on your invoice depends on the template you've chosen. So, if you'd want to have different invoicing templates for your different banking info, you'll need to create your invoice template for each. And select the correct template when creating an invoice.

Are you saying I need to create an invoice template from scratch outside of quick books and then upload it? 

 

I have three differently named templates, but they were all based on the standard template.  Right now if I make a change on any it, it replicates on the rest.  I don't know how else to explain the problem.  Is this a glitch that y'all are not aware off,  something that cannot be fixed, or something that is unique to me. 

 

The replicate on all problem was observed:

 

1) Change the footer to say different things on an  Estimate, Invoice and Receipt.  A change on one replicated to the other two templates. 

 

2) Create a new invoice template for my Bank and Pay Portal.  Changes to the EFT text to reflect where to direct payment immediately replicated to the other template and the "standard". 

 

My work around had been to simply complete the banking options in one EFT statement, and send a separate email to the client to identify which to use.
